About the role

Purpose / Summary of the Role

The Accounts Payable Clerk is responsible for the accurate, timely, and compliant processing of vendor invoices, purchase orders, and payments. This role supports Hydro Tech’s financial integrity by ensuring that payables are properly authorized, coded, recorded, and paid, while maintaining strong vendor relationships and supporting project-based operations across Canada and the United States.

Responsibilities and Duties

Core Responsibilities

  • Process day-to-day accounts payable transactions with a high degree of accuracy and timeliness.

  • Review, match, code, and enter vendor invoices, purchase orders, and credit memos in accordance with company policies and internal controls.

  • Issue purchase orders as required and ensure appropriate approvals are obtained prior to commitment.

  • Verify that all invoices are supported by proper documentation and approvals.

Vendor & Reconciliation Duties

  • Reconcile vendor statements and investigate and resolve discrepancies promptly.

  • Respond to vendor inquiries in a professional and timely manner.

  • Maintain positive working relationships with suppliers to support efficient operations.

Financial Reporting & Controls

  • Maintain organized, complete, and auditable accounts payable records.

  • Support month-end and year-end closing activities, including accruals and reconciliations.

  • Assist with audits by providing accurate documentation and information as requested.

Collaboration & Process Support

  • Work closely with Project Managers, Procurement, and internal stakeholders to resolve purchase order, contract, or invoice issues.

  • Support continuous improvement of accounts payable processes, systems, and controls.

Qualifications

  • Minimum of two (2) years of experience in Accounts Payable or a related accounting/finance role.

  • Post-secondary education in Accounting, Finance, or Business Administration is preferred.

  • Proficiency with Microsoft Office Suite (Excel, Word, Outlook).

  • Experience with Sage Accounting or similar accounting/ERP systems is considered an asset.

  • Experience working in a project-based or multi-entity environment is an asset.

Working Conditions

  • Primarily office-based, with extended periods of computer and desk work.

  • Standard business hours, with occasional additional hours required during month-end or year-end close.

  • Interaction with internal teams and external vendors on a regular basis.

  • Work requires a high level of accuracy, confidentiality, and attention to deadlines.
