Position Overview
We are seeking a perfectly bilingual (French & English) Pre-Construction Client Coordinator - also referred to as a Client Concierge - to guide our clients through the selections and documentation phase before construction begins.
This role is client-facing, organizational, and coordination-focused. It is not technical construction management and does not involve structural decision-making or contract preparation.
As the Client Concierge, you will be the primary point of contact for clients once their plans are finalized with our draftsperson and sales team. You will ensure all selections, approvals, and specifications are complete, clear, and ready for execution - so the construction team can begin with confidence and clarity.
Key Responsibilities
Client Selections & Support
- Guide clients through their selections process in Buildertrend.
- Clarify selection steps and answer process-related questions.
- Schedule supplier meetings and follow-up with clients to meet deadlines.
- Ensure all selections are fully documented and complete.
Documentation & Specs
- Transfer client selections into clear internal specifications.
- Upload all technical sheets, approvals, and documents into Buildertrend.
- Maintain accurate, organized electronic project files.
- Confirm all approvals are signed before project commencement.
Communication & Coordination
- Maintain consistent, professional communication with clients.
- Update internal teams with finalized details & clarify any ambiguities.
- Identify potential delays early and escalate proactively.
- Document every step to ensure a clean "handoff" into construction.
What You Bring
- Perfect bilingual communication (French & English).
- Exceptional organizational skills and time-management.
- Highly detail-oriented with an ability to enforce deadlines respectfully.
- Comfortable with digital systems / software (Buildertrend experience is a major asset).
- Basic understanding of reading floor plans and design documents.
- Calm, professional, reassuring client manner.
- 3+ years experience in selections coordination or a similar role (preferred).
- College diploma (DEC) preferred.
Work Environment
- Temporary remote work until our new office is completed (expected ~May).
- In-person presence at the office afterward to support clients and lead selection sessions.
