Manages and assists in special projects and ensures success in all the Community Association Managers they are assigned to. Must be knowledgeable in company policies and procedures, possess a strong understanding of budgets and finances, and the ability to deliver client satisfaction with Developers and Homeowners ensuring account retention at turnover to Portfolio.

Requirements Essential Job Duties and Responsibilities:
- Partners with the association Developer Client, Board of Directors, and internal departments to adhere to the introduction and integration of new programs, services, and initiatives. Acts as liaison to ensure quality service is delivered, that Board and new owner expectations are met, and assists with prompt response and resolution to questions/problems.
- Establishes and maintains a positive relationship with homeowners, Board of Directors, and internal departments to ensure a high level of customer service and achievement of company and property goals and objectives.
- Maintains knowledge and understanding of the contract between the association, vendors, and Keystone. Ensures all contractual obligations are being met with the associations managed. Monitors vendor contracts regularly. Ensures monthly vendor meetings take place for successful vendor management of each community.
- Provides information and resources to the New Development Developer/Homeowner Liaison necessary for providing an outstanding customer experience.
- Conducts on-site inspections as required. Identifies deficiencies and provides recommendations and action plans to improve the property. Processes and manages violations and work orders regularly.
- Manages and assists in special projects. Oversees any assigned projects and ensures property maintenance/improvement and other related issues are completed in a timely manner. Maintains open communication and provides timely action updates in CINC for the Board and to residents as required.
- Attends kick-off meetings for new development properties and prepares governing documents for the Developer Client on the deadline provided.
- Coordinates with the New Development Developer/Homeowner Liaison to schedule turnover walks/inspections and oversees turnovers through to completion.
- Prepares Request for Proposal for bid solicitation and prepares/provides bid comparison analysis and Organizational Resolutions.
- Updates association communications and ensures current information is displayed on the association bulletin boards, website, and/or portal. Prepares association newsletter and/or other communication with owners and residents as required. Prepares board packets and mail-outs electronically.
- Maintains accurate records, files, and communications pertinent to the Association and Keystone.
- Manages internal special projects as assigned. Assist with the training and development of less experienced staff.
- Oversees any assigned projects and ensures property maintenance/improvement and other related issues are completed in a timely manner. Maintains open communication and provides updates to the Board and residents as required.
- Manage all operations for a portfolio of community associations.
- Provides leadership and consultation with our clients on best practices regarding the management and oversight of their community.
- Manages and runs monthly, bimonthly, quarterly, and annual Board Meetings.
- Creates budgets and manages financials.
- Complies with company policies and procedures.
- Partners with the association Board of Directors and internal departments to adhere to the introduction and integration of new programs, services, and initiatives.
- Provides exceptional support to meet or exceed expectations of a high-volume, high-demand, and tailored services as needed for clientele with complex operations and/or a variety of high-end amenities.
- Maintains strong knowledge of industry trends.
- Participates in emergency phone and in-house coverage schedule.
- Follows all Human Resources policies. Attends/participates in all required training and mandatory meetings.
- Practices and adheres to Keystone’s Core Values, Mission, and Vision.
- Performs additional job duties as required by the supervisor.
Qualification Requirements
- Must have a valid Driver’s License and maintain a clean MVR.
- Must have reliable transportation and the ability to drive to and from communities.
- Demonstrate effective oral and written communication and listening skills.
- Excellent interpersonal and relationship-building skills.
- Exhibit professionalism and calm demeanor.
- Demonstrated problem solving abilities.
- Comprehensive industry knowledge.
- Must be able to attend and participate in night meetings.
- Verifiable references.
- Able to pass a background check.
Education And/or Experience
- High School Diploma or GED required.
- Bachelor’s Degree preferred.
- 2 to 4 years working in a Community Association Management role.
- CMCA designation required.
