Our faculty members generate practice-changing research, improve national standards of care, advance public policy, and prepare the next generations of physician-leaders in the field. With this position, you would be joining a dynamic administrative team who directly facilitate and support the advancement of research, education, and knowledge translation in obstetrics and gynaecology, from a local to a global perspective.

As the Program Administrator, Fellowships and Global Health, you will play a central role in delivering high‑quality support across the department’s Fellowship and Global Health initiatives. As the first point of contact for inquiries, you will guide applicants, learners, and program partners by coordinating program information and application processes, while ensuring procedures and deadlines are clearly communicated. You will maintain accurate program records, support scheduling and logistics for program activities, and assist with meetings and communications. You will also assist with various aspects of travel and accommodation arrangements for Global Health trainees in the AMPATH (Academic Model Providing Access to Healthcare) program. Through strong organization, attention to detail, and responsive client service, you will help ensure the smooth, efficient delivery of Fellowships and Global Health programming and contribute meaningfully to the department’s academic mission.

Your Responsibilities Will Include

  • Acting as the first point of contact for general enquiries, redirecting as appropriate
  • Providing program support by disseminating program information, coordinating the preparation and distribution of program material, and maintaining program information
  • Providing learner services and support by giving detailed information on eligibility requirements, application procedures, and deadlines
  • Applying established standards to confirm program eligibility, reviewing applications for completeness, and following up on outstanding documentation
  • Providing records management support by creating and updating records, collating and organizing data for various reports, and maintaining information on digital platforms
  • Providing administrative support by coordinating meeting schedules, agendas, materials, action and follow-up items; taking and distributing meeting minutes; and creating and editing documents and routine correspondence
  • Coordinating schedules and logistics for program and event calendars
  • Maintaining an in-depth knowledge of program advantages compared to competitor programs
  • Liaising with and hosting Global Health trainees from abroad, assisting with various travel and accommodation arrangements for faculty and trainees

Essential Qualifications

  • Bachelor's Degree or acceptable combination of equivalent education and experience
  • Minimum two (2) years’ experience providing program support in a university or equivalent environment such as a teaching hospital
  • Demonstrated experience acting as the first point of contact for a program or department
  • Experience coordinating the preparation and distribution of program materials
  • Demonstrated experience communicating program procedures, eligibility requirements, and deadlines
  • Demonstrated experience checking the completeness of applications and following up regarding outstanding documentation
  • Experience maintaining course or program information on digital platforms
  • Demonstrated experience coordinating meetings, including schedules, agendas, materials, action and follow-up items, and taking and distributing meeting minutes
  • Demonstrated experience creating and editing documents and routine correspondence
  • Demonstrated experience coordinating logistical arrangements for events and/or programming, including booking rooms, arranging accommodations, and scheduling travel
  • Demonstrated experience creating and updating database records
  • Experience collating and organizing data for reports
  • Strong proficiency with MS Office and other digital tools and systems, including MachForm, Power Platform tools, Elentra, OATS, MyMedia, and Zoom
  • Strong verbal and written communication skills with the ability to provide clear program and procedural information
  • Excellent organizational skills with the ability to manage multiple priorities, deadlines, and follow-up items
  • Strong attention to detail, particularly when verifying documentation and maintaining records
  • Demonstrated ability to handle sensitive and/or confidential information with discretion
