Position Details
The Edmonton EXPO Operations Team is currently seeking a Temporary Facilities Administrative Coordinator to join our team. The Facilities Administrative Coordinator will be responsible for providing critical administrative support on a day-to-day basis to the Facility Operations business unit, which includes the Facility Maintenance Services, Event Operations and Security department. Typical daily activities will consist of administrative and financial processes, including communication within the business unit and organization to manage work effectively and efficiently.
Edmonton EXPO Operations is part of our Business Development & Venue Management Group. Managed by Explore Edmonton Corporation, the Edmonton Convention Centre and Edmonton EXPO Centre both work toward a vision of being among North America’s top-performing venues and achieve that vision through a commitment to positive social, environmental, and economic impact. As two of Edmonton’s largest and busiest venues, the Edmonton Convention Centre and Edmonton EXPO Centre have a combined 672,000 square feet and welcome more than 1.8 million visitors every year.
The successful candidate will be responsible for:
- Providing information and updates to internal and external stakeholders
- Data entry and the upkeep of departmental databases, ensuring a high level of accuracy
- Assisting in issuing preventative maintenance work and requesting maintenance work orders, including tracking of completion and report generation
- Supporting the completion of operational and capital budgets, forecasts, and other financial processes within the business unit
- Coordinating work schedules to mitigate potential operational conflicts
- The administration of the fleet vehicles program
- Supporting business unit leaders to complete special initiatives and projects when requested
- Developing an in-depth understanding of the business unit scope and contributing to accomplishing objectives, including scheduling, financials, and other intended outcomes
- Assisting in the tasks involved in the completion of projects as needed
- Business systems upkeep as required
- The management of invoices and financial processes to assist the business unit
- Coordination of resource requests for large events
- Assisting in payroll, scheduling and timekeeping requirements as needed
- Assist in the recruitment process and onboarding of new business unit team members as needed
The successful candidate will have:
- Post-secondary education in Business or Office administration
- Minimum 2 years of office administration experience, preferably in a maintenance/engineering department
- Outstanding written and verbal communication skills
- Excellent interpersonal skills and ability to work collaboratively
- Strong customer service skills when dealing with internal and external contacts
- Strong organizational skills, detail-oriented, and ability to multitask
- Some knowledge of building maintenance procedures
- Some knowledge of project management methodologies
- Problem-solving and critical thinking skills
- Knowledge of occupational hazards and safety requirements
- Strong knowledge and experience with Microsoft Office Suite
