Position purpose:

Reporting to the supervisor, academic delivery support, and working closely with the assistant dean, curriculum, ensures planning, co-ordination and assistance related to implementation of and support for the Undergraduate Medical Education (UGME) program.

Specific accountabilities:

  • Management of curriculum content and goals: Collaborates with the assistant dean and the project manager to implement and support the curriculum. Co-ordinates and manages all matters related to curriculum content revision, including different teaching delivery methods and copyright management. Manages requests for curriculum changes. Ensures that requests are complete and meet University requirements before submitting them at various approval levels, up to the Senate. Enters information on requests in uoCampus. Works with the assistant dean in support of program and learning objectives, as well as integration of entrustable professional activities. Ensures that curriculum approval, creation and change (including to learning and program objectives) processes are applied effectively, meeting deadlines and accreditation standards.
  • Committee support: Plans and co-ordinates curriculum and three pillar committee meetings: invitations, preparing agenda with the chair and committee members, document distribution, and drafting and distribution of minutes. Keeps track of meeting decisions and follows up with those responsible, as necessary.
  • Co-ordination of operational meetings: Organizes and leads operational meetings with members involved in managing and creating content (educational design teams, Medtech IT team and translation), and ensures follow up as requested. Organizes working group meetings to review curriculum and participates in unit planning meetings.
  • Process organization: Designs, implements and reviews work processes and procedures, to maximize productivity and efficiency. Develops procedures and suggests policies for implementation, along with an operations schedule. Determines resources required to meet deadlines. Plans, develops and applies work procedures and tools to improve service delivery and quality.
  • Administrative support: Serves as a resource person offering advice and support to Faculty members on administrative issues concerning submission of curriculum changes.
  • Reports: Helps create reports used by committees or for accreditation purposes, and updates databases needed to manage programs of study.

Knowledge, experience and skills:

Essential qualifications:

  • University degree in business administration, or an equivalent combination of education and experience
  • Three years’ experience in a related field

Other necessary skills:

  • Knowledge of university undergraduate programs ; knowledge of the Undergraduate Medical Education program in particular (an asset)
  • Experience in managing projects and priorities
  • Knowledge of various teaching modes and educational program delivery
  • Ability to work well under pressure and organize work according to strict deadlines (strong organizational skills)
  • Experience in problem-solving
  • Extensive experience in communication and administrative writing in English and French
  • Very strong skills in using academic computerized systems and the software needed to perform position duties
  • Excellent interpersonal skills
  • Strong sense of discretion
  • Bilingualism — French and English (spoken and written)
