About the role

Position Purpose and Summary

The Coordinator, People & Culture, provides comprehensive administrative support to ensure the efficient operation of the People & Culture Office with a focus on the Centres of Excellence. This position serves as the primary reception point for the P&C department while facilitating administrative functions that enable the department to achieve its strategic objectives. Reporting to the Associate Director, People & Culture, this role ensures accurate data management, facilitates communications, and delivers responsive service that contributes to a positive employee experience throughout the university.

Key Areas of Accountability

1. Administrative Service and Reception

  • Serve as the primary reception point for the P&C department, providing friendly, efficient and confidential administrative service by greeting walk-in guests and managing general phone line(s) and email account(s).
  • Coordinate P&C events, meetings, and prepare supporting materials while managing logistics, schedules, and resources.
  • Process and resolve P&C Help Desk requests by providing direct assistance or routing to appropriate team members, tracking to completion.
  • Coordinate and perform office administration activities including, but not limited to, collecting various correspondence from/for clients and/or P&C team members, ordering office supplies, processing invoices, maintaining office equipment and organizing common areas.
  • Create and update resource materials, including policies, procedures, and web-based references, ensuring accuracy and accessibility.

2. P&C Programs and Communications

  • Coordinate and manage employee service award and recognition programs.
  • Manage communication platforms such as the P&C Internet and Intranet site, ensuring they are up to date with appropriate, professional, legally compliant documents, policies and procedures, relevant news, etc.
  • Maintain employee mailing lists and distribution groups. Work in collaboration with the Marketing and Communication teams to support TWU public relations as needed.
  • Support and coordinate TWU events for employee groups such as townhalls, special events, education sessions and employee recognition events

3. Centres of Excellence Support

  • Support the administration functions of the Centres of Excellence, such as training, drafting job descriptions, and ad-hoc reporting.
  • Provide support for university supervisors and employees on timecards, including clearing exceptions prior to processing payroll
  • Conduct audits to support the processing of payroll.
  • Assist with benefits administration for all staff and faculty (Canada Life, Sunlife, myHSA/WSA).
  • Coordinate cross-functional administrative tasks for all Centres of Excellence.

4. People and Culture Support

  • Provide backup support for HRIS queries and administrative processes.
  • Responsible for probationary review tracking and support for all employee groups.
  • Complete assigned projects to continuously improve knowledge and understanding of emerging P&C issues, industry trends, strategies and tools to assist the P&C Team in achieving its development goals.
  • Support special projects and initiatives as assigned by the P&C leadership team

4. Student Employment Administration

  • Support the overall operation of TWU Student Employment programs, ensuring continuity and operational efficiency.
  • Support components of the student employment recruitment cycle, including processing approvals, preparing job postings, and generating employment agreements in alignment with established procedures.
  • Maintain accurate and up-to-date student employment records and HRIS data.
  • Assist with troubleshooting timecard issues and payroll-related inquiries for student employees.
  • Support the coordination of group or individual student training sessions, including scheduling, documentation, and feedback tracking.
  • Provide administrative support to managers throughout the student employee hiring process to ensure compliance with established procedures and institutional timelines.
  • Provide cross-functional support and back-up coverage for student employment administration as required.

5. Reporting and Documentation

  • Generate standard reports from HRIS systems to support P&C functions.
  • Compile data for statutory reporting requirements (CRA, Statistics Canada, etc.).
  • Maintain and update P&C policy documents and procedural guides.

Standards & Requirements

Education and Certifications

  • Bachelor's degree in a related field of study required.

Experience

  • 1-2 years of relevant office administration experience required.
  • Experience with HRIS and payroll systems preferred.
