What you’ll be doing
You will report to the Director of Portfolio Governance and Reporting and will be supporting the governance of the PBB and CBWM Project Delivery organization. As a Portfolio Governance Coordinator, you’ll be supporting the consolidation of executive material, following the established reporting cadence.
You will need to be proficient on MS Office standard applications, data management tools, CIBC Project Delivery enterprise tools and business reporting tools, as well as familiar with industry standards on Portfolio Management Executive reporting.
At CIBC we enable the work environment most optimal for you to thrive in your role. You’ll have the flexibility to manage your work activities within a hybrid work arrangement where you’ll spend 1-3 days per week on-site, while other days will be remote.
How you’ll succeed

Portfolio Funding Governance and Performance Material – You will be a critical support in the consolidation of PBB & CBWM Portfolio reporting material monthly/weekly/as required, and for the necessary set-up steps on the enterprise project systems. You will proactively identify, review and communicate results of adherence to the CIBC Enterprise Delivery Framework (EDF). Your day-to-day responsibilities include:
- Prepare material for Project Investment funding reviews with the Chief Admin Officer (CAO) leadership and Canadian Banking Change Control Board (CCB) committee
- Publish approvals and post-reviews notes to Project Managers and Delivery Leads
- Complete mandatory set up on enterprise systems for all approved projects and manage the Life Cycle steps (Pending to Closure) as applicable
- Publish weekly reports on delivery health of projects in the portfolio
- Review monthly Planview Data Quality compliance metrics and assist Project Managers to ensure gaps are closed within the same reporting month

Strategy PMO Admin Support – You will also be a critical support in the day to day operations of the Portfolio Management Office, covering the following:
- Calendar management, coordinating team events, bookings for leadership meetings, etc.
- MS Teams Admin (Manage access to Groups, Channels, folders)
- Sharepoint Admin (Manage access, complete yearly attestation and reviews)
- Admin Maintenance of Shared PMO mailbox, distribution lists, other document repositories

Communication – You have well developed written and verbal communication skills. Ability to facilitate meetings with peers, partners and executives as required. Ability to produce a variety of business documents with clarity of thought and orderliness of presentation. You will be preparing monthly communication for the PBB & CBWM Delivery Portfolio community, with updates on governance, policies and process as content.

Maintain relationships – Advocate/facilitate information gathering and sharing with the Business executives, leaders, owners and delivery managers, EPO, SGI Office, Canadian Banking Project and Business Finance, and PBB & CBWM Executive and Leaders throughout the execution of Portfolio Management functions. What you’ll be doing
