Position Overview
The Administrative Assistant will provide strong clerical support for the RFP department at Green PI Inc. Working closely with the Office Manager, the Administrative Assistant will ensure smooth operations within the organization. This is a full-time, contract position with an opportunity for extension.
Roles and Responsibilities
Support the Request for Proposal (RFP) Writing Team Review new bidding opportunities for future projects to ensure the organization is qualified to apply and inform the RFP team of new bids; Ensure all certifications and qualifications are updated within the system; Ensure the RFP team has the necessary information to submit a strong proposal promptly; Review bids that have been awarded and ensure appropriate teams have been notified; Ensure staff attend mandatory meetings or site visits for potential projects; Ensure all RFP materials are available to the teams working on the awarded projects.
Scheduling and Booking
Assist in booking travel (hotel, flights, car) for staff; Ensure staff are aware of and attend project meetings; Schedule various meetings between clients and staff as needed; Schedule site visits for the engineering and IT teams.
Supporting the Office Manager
Use advanced administrative skills, including Microsoft Office (specifically Excel and Word), Outlook, Teams, and Adobe. Ensure various documents are appropriately filed and available when needed; Organize and prepare various documents as needed for internal and external correspondence; Review, complete, and organize engineering files as necessary; Follow up with clients on old and current Vendor of Records (VORs); Performs various administrative duties such as handling phone calls, reception, research, client follow-up, and mail delivery; Has attention to detail when ensuring various office tasks are completed effectively and efficiently; Other duties as assigned.
Skills Required
A team player with highly developed problem-solving skills; Strong organizational skills with a focus on proactive planning; Advanced ability to prioritize and multitask; Superior attention to detail and highly conscious of accuracy; Effective communication skills, both verbal and written; Ability to work with minimal supervision.
Qualifications and Educational Requirements
Completion of a Diploma or Degree in the field of Office/Business Administration; Prior administrative support experience working in an office-type environment; Advanced skills in Microsoft Office, Outlook and Teams. You must be comfortable working with and manipulating spreadsheets at a high level.
Job Type: Full-Time, contract, with a possibility of extension
Salary Range: $45,000-47,000 annually
Working Hours
Monday to Friday 8:00 am – 4:30 pm
