About the role

About The Role:

With a passion for care towards residents, families and team members, the Business Office Clerk is responsible for operating the telephone communication system, providing customer service, monitoring the fire and equipment panels, maintaining financial records, processing medical records and performing other administrative duties as required.

What You Will Do:

Resident Centered Care:

  • Provides accurate telephone and general information services for all incoming switchboard calls in a professional, courteous, and timely fashion.
  • Efficiently and accurately responds to internal and external customer needs at the business office.
  • Utilizes the paging system to locate and inform staff, visitors, and residents according to established protocol.
  • Screens incoming calls and directs them to appropriate personnel.
  • Ensures timely distribution of lab results, telephone messages, and incoming faxes.
  • Contacts external transportation services for residents as requested.
  • Maintains resident and staff rights to confidentiality.
  • Receives, triages and dispatches requests for maintenance.

Documentation:

  • Accurate, comprehensive, and timely documentation and storage of various records which are required for site operations.
  • Manages internal/external mail and courier delivery systems.
  • Logs and distributes keys as required by other departments.
  • Initiates and processes all resident admissions and discharges.
  • Receives all medical records from the units and files them accordingly.
  • Ensures that all records are completed according to the standards set.
  • Maintains a database of chart retrievals, returns, and movement within the facility.
  • Maintains, reconciles, and distributes monthly statistics to the appropriate departments.

Team Work:

  • Assists staff with parking and locker assignments.

What You Bring:

  • Grade 12 Diploma
  • Office Administration certificate or diploma preferred.
  • 1-3 years’ of reception experience, preferably in the health care industry.
  • Previous experience with geriatrics is preferred
  • Able to work effectively in a physically and mentally demanding environment.
  • Excellent interpersonal skills and strong verbal and written communication skills.
  • Experience and a good working knowledge of Microsoft Office.
