Accounts Payable Clerk- Full Time

Hamilton, Ontario

Salary: $46,600-$57,400

Position Description: As an Accounts Payable Clerk at Indwell Community Homes, you will play a crucial role in managing and maintaining our accounts payable functions across several entities. Your responsibilities will include processing invoices, ensuring accurate and timely payments, and maintaining financial records in alignment with organizational policies and procedures.

Hours of Work/Location: Full time 40 hours per week, Monday- Friday. 9am-5pm. Based at Hamilton Main Office: 1430 Main St. East.

WHAT YOU WILL BE DOING:
Construction Accounting

  • Track and manage construction project budgets, expenditures, and funding sources
  • Process and reconcile construction-related invoices, holdbacks, and progress draws
  • Collaborate with project managers and development staff to ensure accurate cost allocations
  • Maintain detailed records for capital projects to support reporting and audit requirements

Concur – Check and Approve Expense Claims in Concur Software

  • Review and edit expense reports in SAP Concur
  • Approve expense reports in SAP Concur as needed
  • Communicate with program and other staff
  • Upload entries from Concur to the accounting software as needed
  • Maintain detailed records

Assist in Processing Operating Payables

  • Matching purchase orders with invoices and ensuring purchase orders have been prepared where required according to company policy.
  • Process and verify invoices for payment, ensuring accuracy and adherence to company policies.
  • Enter invoices and code accurately in accounting software.
  • Reconcile vendor statements and resolve discrepancies in a timely manner.
  • Maintain and update accounts payable records, including vendor information and payment history.
  • Prepare and process checks and electronic payments.
  • Intercompany invoicing and reconciliations
  • Assist in the preparation of month-end reporting and reconciliations.
  • Respond to inquiries from vendors and internal staff regarding accounts payable issues.
  • Assist with audit preparation by providing necessary documentation and reports.
  • Support other accounting and administrative functions as needed.

WHAT YOU WILL BE BRING:

  • A commitment to upholding and modeling Indwell’s mission statement, values, and other operating standards and policies, reflecting them in all interactions and decisions
  • A bookkeeping or accounting diploma or equivalent is preferred
  • A minimum of 3 years experience in an Accounts Payable Clerk or similar role
  • Strong knowledge of accounts payable processes and financial procedures
  • Proficiency in accounting software and MS Office (Excel, Word).
  • Experience with Yardi software is an asset
  • Excellent attention to detail, accuracy and organizational skills
  • Ability to work independently and as part of a team.
  • Strong communication and problem-solving skills
