What will you do?
- Comply with company policies and standard operating procedures and take accountability for implementing and enforcing building standards and efficiencies.
- Ensure compliance with all national, provincial, and municipal legislation, regulations and codes, including health and safety, environmental programs, studies and inspections
- Implement operational best practices to align your portfolio with Allied’s National Operating Framework.
- Provide subject matter expertise (SME) to upper management and act as a conduit of property issues and operational activities to the operations teams.
- Actively participate in development and implementation of national conformance strategic sourcing and procurement standards.
- Responsible for overseeing building commissioning, maintenance, and operations, such as HVAC, Life and Safety, elevating devices, building envelope, electrical and data distribution, and other related equipment and systems.
- Conduct routine inspections on all site mechanical, electrical, and HVAC systems and related equipment including but not limited to water treatment, boilers, heat pumps, roof top units, air conditioners, on a regular basis to ensure equipment is maintained in good working order.
- Oversee the preventive maintenance platform and all related modules.
- Execute all preventative maintenance tasks as prescribed on all equipment and systems and modify tasks and information as required
- Ensure that all fire protection equipment & systems are inspected & tested at recommended intervals for proper operation to meet legislative requirements and ensure tenant and customer safety.
- Ensure seasonal building requirements and services such as ice and snow clearing, salting, seasonal decorating, and grounds keeping are met. Ensure that work is carried out, appropriately and according to the service agreements.
- Yardi FM and Tenant requests requirements: audit response times monthly on all tenant and preventive maintenance requests, ensure all services performed are recorded in the system, and review on regular basis all relevant reports, make recommendations and deliver solutions to improve the service level.
- Develop audit management tools and schedules to ensure compliance, quality control and internal best practice execution.
- Establish and provide monthly/quarterly KPI report.
- Ensure all tenant concerns are addressed in a timely and professional manner and assist in solving issues as required. Follow up with the tenants to ensure they are satisfied with the work.
- Manage the procurement of all supplies and services required for property/portfolio by
- Reviewing service contracts, overseeing RFP processes and providing input on supplier selection.
- Ensure service contracts are enforced, service levels are achieved, and contractors are adequately supervised when on site.
- Own the development and approval for capital budgets within the assigned portfolio and work closely with Portfolio Operations in the preparation of building operating budgets.
- Actively participate in Budgeting, monitoring and execution of all regional &/or National building operations initiatives and programs.
- Lead the planning and execution of condition assessments, life cycle analysis, and feasibility studies in the portfolio.
- Lead the preparation & ongoing maintenance of capital budgets for all buildings in the portfolio.
- Adhere to & lead full enforcement of Allied’s Emergency Management Protocol (EMP) and Emergency Response Plan (ERP)
- Ensure proactive maintenance and operation, and lead contingency planning and implementation at property/portfolio
- Collaborate and communicate regularly with the Portfolio Operations team to ensure department objectives are met.
- Work closely with Portfolio Operations, Leasing, Construction, and Development teams on tenant improvement work, landlords work, capital improvements and/or base building projects. This includes timely turnover and preparation of vacant premises.
- Work closely with Portfolio Operations to ensure Allied’s “street to suite” requirements are always met and maintained
- Develop and sustain cooperative and collaborative working relationships with all internal functional teams, vendors, users/occupants and the community.
- Complete assigned duties with respect to Allied Sustainable Well Being and User Engagement Programs.
- Participate in the certification process for BOMA, LEED, WELL, if applicable.
- Responsible for properties transition from development to full occupancy.
- Respond to after hour calls and/or emergencies when required.
- Direct root cause analysis related to operational failures and oversee implementation of corrective actions.
- Implement lessons learned from portfolio reviews and integrate into national operating standards
- Complete any other duties as required.
Leadership Responsibilities
- Oversee the performance of a large portfolio with complex buildings.
- Lead, mentor, coach, and develop all direct and indirect reports, by fostering team spirit, knowledge-sharing, empowerment, and unity among all departments, and managing performance through ongoing conversations/feedback and goals.
- Participate in Talent Management activities, including identifying staffing needs, interviewing, and selecting candidates, onboarding and training new employees, and performance management.
- Ensure all direct and indirect reports are cross trained on all the buildings in their respective pool of buildings.
- Oversee job tasks, work schedules, overtime, and holidays for all direct and indirect reports.
- Ensure Building Operators present an acceptable appearance while performing the duties of their position, including being in full uniform while on duty.
What are we looking for?
- Minimum 10 years of experience in Commercial Real Estate Facility Management and/or Project Management.
- Minimum 5 years of hands-on experience in physical plant operations, HVAC/BAS, plumbing, electrical, fire alarm, and other related equipment and systems.
- Minimum 7 years of leadership experience including experience managing managers.
- Minimum 3 years of experience in construction project management.
- Experience with managing budgets and performance through KPI’s.
- Experience in establishing and implementing best practices and policies.
- Engineering Degree (Civil/Mechanical/Electrical) or a related degree.
- FMA, Stationary Engineer 3rd Class or equivalent would be an asset.
- PMP designation would be an asset.
- Strong knowledge of building operations and troubleshooting of building systems, including but not limited to: HVAC, electrical, plumbing, building automation, life safety, building envelope, etc.
- Strong Knowledge of Occupational and Safety Act, Knowledge of Workplace Hazardous Materials Information Systems (WHMIS) and First Aid and CPR training.
- Advanced ability to read and interpret plans, drawings, blueprints, and specifications (CAD advanced knowledge).
- Strong Knowledge of Provincial Building Code & Regulations, Canadian Electrical Code, Provincial Fire Code, Electrical Safety Authority, and ASHRAE standards.
- Through knowledge of sustainability best practices including energy management, net zero initiative, waste management, procurement best practices, and ESG reporting.
- Proven experience in managing and budgeting capital projects.
- Solid understanding of sourcing/procurement, building systems and maintenance, vendor management and customer service.
