Sales Operations Administrator

We are seeking aSales Operations Administratoron a part-time contract basis to support our Sales and Business Development teams. This role is essential to ensuring smooth internal operations, accurate data management, and seamless coordination across teams. The ideal candidate is highly organised, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment.

The hourly rate for this role is between $20-$22 per hour.
The Role
As a Sales Operations Administrator, you will play a key role in supporting the sales lifecycle from initial booking through to confirmation and internal handoff. You will work closely with Sales, Client Services, Business Development, and other internal teams to ensure data accuracy, process consistency, and a high standard of client experience.
This role requires strong attention to detail, accountability, and the ability to manage multiple workflows simultaneously. You will be a critical support function in maintaining operational efficiency and ensuring that bookings and client records are accurate and complete.
The Sales Operations Administrator reports directly to the Sales Manager.
Overarching duties and responsibilities:
- Maintain accurate, well-organized, and confidential client and partner records across internal systems and files
- Provide administrative and operational support to the Sales and Business Development teams, including data entry and record maintenance
- Process registrations, secure client payments, manage registration agreements, and generate invoices using our booking CRM
- Support the progression of bookings through the HubSpot pipeline by:
- Updating deal stages
- Ensuring required documentation is complete
- Sending booking confirmations
- Supporting smooth handoffs between Sales, CSR, and Client Services
- Assist with additional administrative, sales operations, and trip preparation tasks to support cross-departmental workflows
- Complete other operational duties as required
Skills & Experience Required
- 1–3 years of experience in an administrative, sales support, or operations role
- Strong client service orientation with a professional and responsive approach
- Clear written and verbal communication skills
- High level of organisation and attention to detail
- Ability to manage multiple requests and priorities in a structured manner
- Experience working with CRM systems, preferably HubSpot
- Proactive follow-up habits with strong accountability for task completion
- Ability to work both independently and collaboratively within a team environment
Education
- Post-secondary education in Business, Administration, or a related field is considered an asset.
