Exports Documentations Coordinator
About the role
The EXPORTS documentation representative will be responsible for handling services requests (SR) from external customers and various internal departments to complete the processing of all EXPORT vessels. Including managing the timely receipt of required EXPORT documents and critical information (Shipping instructions, Verified Gross Mass, waiver approvals, customs documents and manage the communication of export schedule) . They will bring positivity and a Can-Do approach. This role requires the ability to think on your feet, have an acute eye for detail and ability to prioritize in the moment to ensure the timely processing of EXPORT cargo from CANADA to ports from all over the world.
Major areas of responsibility: Responding to internal and external emails using our ZRM internal CRM application to follow up with customers for critical EXPORT documentation as needed per vessel
Manage the internal communication of the vessel schedule
Work with internal / external partners to coordinate filing of customs and various EXPORT documentation
Manage customer waivers as needed, authorize extensions for documentation submission as needed
Process late correctors to EXPORT freight invoices
Update internal tracking sheet for roll count and waiver volume
Generating invoices for customs exams and expedited rail service
Assisting IMPORT documentation team as needed based on workload balancing
Effectively initiating outbound calls to external customers to follow up on missing required documents - provide excellent customer service by identifying and assessing customers’ needs and providing accurate, valid and complete information
Requirements:
- High school diploma or general education degree (GED)
- One-year related experience and/or training; or equivalent combination of education and experience.
- Bilingual an asset (English required – written and Oral)
- Computer Literacy
- Ability to maintain working hours in different time zones (particularly Pacific Time Zone)
