Job Summary:

The Change Management Specialist leads the development of organizational change management strategies, plans, and analysis to ensure successful adoption of improved processes and supporting suite of new solutions. This role specifically supports change and adoption activities within individual projects. The Change Management Specialist is responsible for identifying impacts to process, policy, data, technology, and people changes and lead transformation activities required to facilitate transition from current state to future state. The Change Management Specialist is an integral member of the team and has a strategic perspective and a broad-based understanding of business operations in supporting the impacted stakeholders in understanding and adapting to new processes and solutions.

Job Description:

Duties & Responsibilities:

  • Partner with project managers and project teams to integrate project and change management plans and align strategies, objectives, and timelines. Maintain close communication with project managers and project teams to revise plans as needed in response to new information or technical developments.
  • Define, clarify, and drive the project team’s common understanding of business processes for successful change adoptions by conducting change impact and readiness analysis.
  • Identify risks, always maintain visibility, strategize to prevent them from negatively impacting projects and track them to ensure they are addressed by the teams.
  • Design, deliver and manage communications in collaboration with the Strategic Communications and Marketing department. Propose instructional strategies and/or recommend alternatives to improve the effectiveness and efficiency for communication, training, and resistance management. Develop independently, or as part of a team, overall objectives, and actionable, targeted implementation strategies.
  • Plan and organize meetings, demonstrations, presentations, and other events to engage and inform stakeholders. Develop content, prepare presentations, and arrange logistics. Develop targeted approaches to illustrate benefits to be realized from fuller adoption of improved processes and supporting suite of solutions functionality.
  • Form and organize performance metrics to assess and evaluate readiness and adoption and utilization of improved processes and systems. Measure the levels of participation and proficiency of users and stakeholders with new processes.
  • Track and report all change management deliverables at appropriate intervals, implementing corrective actions and celebrating successes, as appropriate.
  • Apply evaluation methodologies to regularly assess effectiveness and sustainability of change management strategies and activities. Collect and analyze feedback, diagnose any gaps and remaining resistance, and identify process improvements.
  • Work with business representatives to help them develop strategies to support the distinct business needs of their businesses in adopting improved processes and new functionality. Facilitate analysis of change impacts to business processes, promote exploration of alternative processes, identify risks to successful adoption of deployment, and assist in developing project specific change management, communication, and training programs.
  • Collaborate with a System Implementer and incorporate their change management methodology and approach as needed.
  • Perform other duties as assigned or requested.

Qualifications Required:

Education & Experience:

  • Undergraduate degree in a relevant discipline.
  • A minimum of 5 years of combined experience in organizational change management, process improvement, organization development, communications, or a related field
  • An equivalent combination of education and experience may be considered. Bachelor’s degree in commerce, HR, technology, communications, organizational management, or related field; Master’s degree would be considered an asset.
  • Change management experience in Workday (or cloud-based ERP) implementations preferred.
  • Experience in an ERP implementation project or software implementation projects in a change management specialist role is preferred.
  • Solid understanding of change processes and their impacts on both individuals and organizations
  • Knowledge of organizational change management principles, methodologies, and tools
  • Comfort and experience interacting with and influencing senior executives.
  • Strong knowledge of business process mapping and improvement/optimization. Knowledge of BPMN.
  • Experience facilitating diverse groups to achieve an appropriate outcome.
  • Solid understanding of key trends and players in the IT industry.
  • Higher-education or public sector experience is an asset.
  • Proven knowledge and continuous learning of organizational change management discipline and best practices and demonstrated contributions to practice improvement.

  • Ability to write technical and user support documentation and training materials.

$40.75 - $59.77 per hour

Compensation beyond the mid-point requires approval by the Public Sector Employers’ Council Secretariat (PSEC).
