Are you an organized, proactive professional ready to take on a key role supporting senior leadership at the University of Regina? Join us as our new (term) Executive Assistant to the Vice President, Administration!

This position plays a vital role in supporting the Vice-President (Administration) and the broader Executive Offices. The Executive Assistant is responsible for managing a wide range of complex administrative tasks, coordinating high-level meetings and communications, and ensuring the efficient operation of the VP’s office. The successful candidate will demonstrate exceptional organizational skills, discretion, and the ability to work in a fast-paced, dynamic environment.

What You’ll Do:

  • Strategic management of the Vice-President’s schedule and priorities
  • Preparation of briefing materials, correspondence, and presentations
  • Coordination of meetings with internal and external stakeholders
  • Confidential support for committees and budget processes
  • Oversight of travel arrangements, financial reconciliations, and reporting
  • Maintenance of websites and administrative records
  • Liaison with senior leaders, government officials, and other stakeholders
  • Support for awards programs, audits, and special projects

Position Requirements

What You’ll Bring to this Position:

  • Completion of a recognized administration course or equivalent
  • Minimum of 5–7 years of progressively responsible experience in a senior executive administrative role
  • Combination of education and experience may be considered

Skills That Will Ensure Your Success in the Role:

  • Experience supporting senior leadership in a post-secondary or similar setting
  • Strong knowledge of University governance, policies, and administrative practices
  • Superior written and verbal communication skills
  • Proven ability to manage multiple priorities with discretion and confidentiality
  • Advanced proficiency in office software and email applications
  • Demonstrated budgetary acumen and attention to detail
  • Ability to build positive relationships across all levels of the University and with external partners
