About the role

Job Summary The Rehab Coordinator, under the direction of the Director Of Therapy & Rehab and Rehab Coordinator Lead, provides administrative support as required, coordinates internal and external communication, supports managers and employees with job duties, and completes other office duties as directed.

Duties And Responsibilities

  • Complete correspondence including letter writing, faxes, emails, quarterly reports and text editing.
  • Review, edit, prepare and submit reports and documents as requested.
  • Handle, screen and redirect incoming phone calls.
  • Make phone calls to therapists, employees, referral sources, vendors and payers.
  • Handle incoming and outgoing mail and couriers.
  • Develop and maintain mailing lists and databases.
  • Set up new referrals in Antibex Software and coordinate referrals with therapists and rehab assistants.
  • Assist with completion of OCF-18s.
  • Arrange appointments and meetings.
  • Assist with obtaining equipment quotes from vendors.
  • Monitor deadlines.
  • Provide ongoing support to external business associates, directors, managers, therapists, employees and clients as directed; maintain confidential business files.
  • Assist with the writing and editing of contractual agreements and Requests for Proposals.
  • Transcribe and distribute meeting minutes.
  • Assist in the development of materials for presentations to current and potential clients, therapists and employees.
  • Provide coverage for other Administrative positions as required.
  • Occasional clinical work in community to support the team (i.e. Kinesiologist/Rehab Assistant).
  • Participate in ongoing internal and/or external continuing education activities
  • Adhere to Bayshore Policies and Procedures.
  • Participate in quality activities and continuous improvement initiatives in keeping with the company's Quality Management System.
  • Participate in proactive Health & Safety activities while performing all duties. Is responsible to notify immediate Supervisor of any Health & Safety risks or concerns.
  • Maintain confidentiality of client and corporate information and discusses same only with appropriate Bayshore personnel.
  • Complete other tasks as requested.

Education

Kinesiologist (R.KIN preferred), completion of an Undergraduate University Degree in a related field, or OTA/PTA Diploma is required.

Experience Ideally, two years previous experience as a coordinator/administrative assistant/rehab assistant/kinesiologist, ideally in automobile and/or WSIB insurance systems.

Other Skills And Abilities Exceptional customer relations, organizational, efficiency and teamwork skills; proficiency in Windows applications, database management, e-mail and the internet; administrative or executive level writing skills; demonstrated ability to establish priorities, handle multiple tasks and work independently and as a team member; strong commitment to continual learning; fluency in written and spoken English.

Other Assets

  • Knowledge of Antibex Universal Software, Peoplesoft, Procura, Taleo
  • Knowledge of Automobile Insurance Sector (SABS) and WSIB
  • Experience with recruitment and HR coordination
  • Clinical experience in the community.

External candidates must have a proven ability to complete administrative tasks, deal with customers and have consistently shown above average initiative. Successful candidates must complete a three month probationary period specific to the position.
