The Opportunity
The Proposal Coordinator is a key contributor to our business development efforts, responsible for managing the full lifecycle of proposal development. You are a strategic thinker with exceptional organizational and communication skills who can translate complex technical information into clear, compelling proposal content. You will work closely with technical staff, project managers, and leadership to craft customized responses to Requests for Proposals (RFPs), Requests for Qualifications (RFQs), and other client inquiries.
Your primary focus will be to ensure that all proposals are compliant, persuasive, and professionally presented, reflecting the company’s brand and commitment to excellence. You will also play a vital role in maintaining a library of proposal content, tracking submission outcomes, and continuously improving proposal processes and materials.
Key Responsibilities:
Proposal Management:
- Lead the coordination, development, and submission of proposals and qualification packages.
- Analyze RFP/RFQ requirements and develop compliance matrices and response outlines.
- Collaborate with technical staff, project managers, and leadership to gather content and ensure accuracy.
- Support in following up with clients post-submission and responding to any questions.
Content Development:
- Write, edit, and format proposal content, including executive summaries, project descriptions, resumes, and firm qualifications.
- Maintain and update a library of standard proposal content, templates, and graphics.
Quality Control:
- Ensure proposals are compliant, well-written, visually appealing and submitted on time.
- Conduct final reviews for grammar, formatting, and consistency.
Collaboration and Communication:
- Facilitate proposal kick off meetings and regular check ins.
- Communicate deadlines, responsibilities, and expectations clearly to all contributors.
Database and Reporting:
- Track proposal outcomes and maintain records in company CRM.
- Analyze win/loss data to identify trends and areas for improvement.
Qualifications:
- Bachelor's degree in Engineering, Marketing, Communications, or demonstrated experience.
- 2+years of experience in proposal coordination, preferably in consulting.
- Strong writing, editing, and proofreading skills.
- Proficiency in Microsoft Office Suite and Adobe Creative or similar.
- Experience with managing an updating a CRM is considered an asset.
- Ability to manage multiple deadlines and work under pressure.
- Experience with BQE Core is considered an asset.
