Bring your excellent administrative and organizational skills to our team as the Administrative Assistant, Committees in our Professional Conduct and Regulatory Affairs (PCRA) department.

The College’s PCRA department responds to inquiries from the public about dental concerns, investigates the conduct of dentists, provides support to the Inquiries, Complaints and Reports (ICR) Committee and Discipline Committee in their decision-making roles and enforces committee decisions.

You will be responsible for preparing and circulating complaints materials and reports to the ICR Committee for review. You will work closely with the department’s committee administrators and decision writers; prepare and track correspondence directed by the ICR Committee during their review of complaints and reports; prepare materials for the Health Professions Appeal and Review Board (HPARB); and archive committee materials and decisions for the department.

This is a single vacancy, anticipated to be a 12+ months contract, to cover a parental leave. This role will require the successful candidate to work onsite at our Toronto office occasionally as needed.

At this time, we are only considering candidates located in Ontario or who are willing to relocate.

What can I expect to do in this role?

Reporting to the Supervisor, Committee Support, you will:

  • Manage all digital documents, and update records of investigation (ROIs) and dentists’ prior decisions (PDs) for the ICR Committee panel meetings and during the panel review stage using Adobe and Microsoft Word
  • Prepare correspondence for the College’s decision writers, as directed by panels of the ICR Committee and email to recipients
  • Create tasks in CRM to track correspondence sent and response due dates
  • Monitor Team inbox regularly throughout the day for urgent correspondence from dentists, complainants and decision writers and advise/ provide to appropriate staff
  • Provide back-up support for the department’s committee administrators, including uploading meeting materials to SharePoint and attending Zoom panel meetings
  • Assist with administration of the Health Professions Appeal and Review Board (HPARB) process as required
  • Archive all ICR Committee materials and decisions and close files in the CRM
  • Send exit surveys to parties once decisions are issued
  • Provide general administrative assistance to the team supervisor as required
  • Other duties as required

What skills and background do I need?

The Administrative Assistant, Committees requires:

  • Completion of two- to three-year community college program and two- to three- years of related work experience
  • Proficiency in Microsoft Office and Adobe, and knowledge of case management systems
  • Excellent organizational skills and ability to prioritize assignments in a fast-paced, collaborative environment with a high-volume of tasks; ability to pivot and switch tasks quickly and efficiently
  • Strong critical-thinking skills with the ability to understand and communicate complex information to stakeholders while ensuring that information resources are accurate
  • Strong initiative and a self-starter
  • Strong attention to detail and accuracy
  • Ability to maintain confidentiality
  • Experience in a legal or regulatory environment is an asset
  • Relies on best-practices, data, research and/or evidence to make informed decisions
  • RCDSO is building its bilingual (French/English) capacity and excellent French language proficiency is an asset

Compensation and Total Rewards

  • Base annual hiring salary from $51,215 to $57,617.10 (pro-rated for the duration of the contract), commensurate with experience
