RESPONSIBILITIES
- Perform clerical duties including preparing daily, weekly, bi-weekly and monthly reports, attendance records, typing, word processing, photocopying, faxing, new employee documentation, and filing
- Prepare, organize, communicate, and maintain monthly care conference schedules in consultation
- Direct all incoming calls, record and distribute messages in an accurate and timely manner
- Preparation and organization of orientation program
- Processing of HIN claims
- Organization and medical records management
- Monitor front entrance for all residents at risk for elopement
- Understand and maintain staffing schedule in accordance with applicable collective agreements and Extendicare policies for the Nursing Department.
- Provide coverage for the FT DOC/Scheduling clerk and accurately complete the payroll and all related tasks meeting deadlines as required for the Nursing Department
- Greet and direct all visitors and calls to ensure that the reception area is staffed as directed
- Assists with ordering, receiving, distribution and maintaining organized storage of all nursing supplies and continence care program supplies
- Typing, distribution and printing of agendas and minutes for various committees as assigned
- Adhere to all department and home-wide policies and procedures, legislated requirements, Accreditation Canada standards.
- Maintaining positive relationship with nursing staff
- Performs other duties as assigned
QUALIFICATIONS
- Minimum Secondary School Graduation Diploma; Post-secondary business office courses preferred
- Excellent computer skills and demonstrated experience with Microsoft Office (Excel, Word, PowerPoint), Outlook
- Understanding of long-term care and geriatric care
- Minimum 1-2 years office, payroll and scheduling experience is essential
- Ability to work independently and as part of a team
- Ability to present information clearly and effectively both verbally whether in person or over the phone, and in writing; an active listener who projects a pleasant, friendly demeanor
- Ability to work effectively with a positive attitude in a fast-paced environment
- Excellent analytical, organization, planning, problem-solving, time-management and critical thinking skills
- Working knowledge of collective agreements in a unionized environment
- Excellent interpersonal and communications skills
- Organizational skills are essential
- Working knowledge of inventory management systems an asset
- Background in human resources an asset
- Able to maintain a positive attitude while under pressure
- Able to work flexible hours - work every other weekend
