The Project Coordinator, Construction is a key member of the Project Team, responsible for supporting and managing in-house processes to ensure success of the Project, as well as being the Administrative representative of Holt Renfrew in all dealings with the Constructors, Consultants, and Internal Stakeholders.
Specific responsibilities include (but are not limited to) the following:
- Coordinates with the Director of Construction, the Manager, Construction, the Store, the General Contractor and internal teams to execute the project from inception to completion.
- Supports the department in creation of RFP’s for planned construction projects.
- Assists in leveling, compiling and assessing General Contractor / vendor pricing.
- Assists the Construction Manager in processing monthly contract draws and in conjunction with internal finance partners, ensures payments are issued on time.
- Ensures that internal Document Management is current, and has incorporated all Request for Information (RFI), Contemplated Change Notice (CCN), and Change Notice (CN) revisions.
- Ensures all jurisdictionally required documentation is received from Contractors/Vendors performing work.
- Supports the Construction Manager in processing changes received from the General Contractor in conjunction with the Architect and other consultants including review and substantiation of pricing, checking subcontractor quotations to ensure that they are complete and reasonable, addressing any impact to the schedule.
- Attends regular meetings with Contractors, Architects, and Stakeholders in a professional manner and transcribes key notes, issuing meeting minutes in a timely manner.
- Coordinates documentation to create Contract Cover Sheets, Purchase Orders, etc. And follows up to ensure approvals are completed.
- Supports cross functional communication between internal stakeholders.
- Have the ability to read, interpret, analyze and forecast a project’s cost reports and determine the status of the job in terms of schedule and costing.
- Have the ability to read, interpret, analyze Construction Documents and Specifications.
- Be aware of unit costs and monitor and compare daily progress on site with that of the project’s estimate in conjunction with the Project Superintendent.
- Manage and create various invoices, spreadsheets and tracking for department..
- Administer and/or assist with special projects and programs, as required.
The ideal candidate:
- Educational and experience requirements include business administration degree or equivalent combination of technical training plus 2-3 years’ experience / knowledge of construction, design, finance and management required.
- Ability to communicate in verbal and written French is an asset.
- Thorough understanding of corporate and industry practices, processes, standards etc. and their impact on project activities are vital.
- Proficient in use of Microsoft Office Suite:
- Excel, Word, Project, Outlook, Powerpoint, Teams
- Proficient in use of supporting business/construction software applications:
- Adobe Acrobat, Procore, etc…
- Able to work in a highly organized manner where details, accuracy, confidentiality, balancing multiple priorities and meeting deadlines are critical.
- Should have a high level of professionalism and the ability to deal effectively with all levels internal/external to the organization.
- Should have excellent interpersonal and communication (both verbal and written) skills.
