Under the direction of the Community Engagement and Events Coordinator, the Events Programmer assists with the development, implementation, execution, monitoring and evaluation of Town run events including supervising and training volunteers. This role will assist the Community Engagement and Events Coordinator with increasing awareness and encouraging community participation in events at the Town’s recreational facilities, parks and trails.
Key Responsibilities Include:
Special Events
- Provide assistance to the Community Engagement and Events Coordinator in the planning and delivery of events
- Assist with event set up, execution and tear down of events
- Oversee equipment inventory and storage and replenishing when needed
- Assist with building relationships and partnerships with community event groups
- Assist with volunteer management including recruitment (onboarding, orientations), training and supervision
- Foster and maintain positive working relationships with all event attendees, vendors, entertainers, contractors, suppliers, volunteers and staff
- Assist with preparing documents for events including but not limited to: Contact sheets, equipment lists, critical paths, invoices, and emergency protocols
- Supports in the recruitment, training and engagement of volunteers
Farmers Market
- Assist with vendor recruitment, engagement and retention
- Work with the Farmers Market Advisory Committee of Council to determine the optimal market mix of vendors, organizing selection processes of vendors and collecting, managing, and submitting all applications, payments and public health related forms
- Attend all farmers market dates (May 22 to September11), ensure vendor space is allocated in compliance with market policy, greet vendors and assist with set up
- Mediate and resolve any issues that may occur on market day, be visible and accessible to vendors, customers, and volunteers during the day and assist with clean up and closing of the market
- In collaboration with Communications, support Farmers Market promotion and marketing through social media etc., organize and execute and market special event days, volunteer recruitment, and compile and complete vendor and guest surveys
- Maintain and update Farmers Market budget expenses and revenue
- This position will work approximately 30 hours per week, which is required from May to December.
Qualifications and Requirements:
- University/College degree or diploma in Recreation, Event Management, Business and/or other related discipline in the applied arts or related field, or equivalent combination of education and experience.
- Minimum of 1-2 years of related experience in a municipal environment, with previous farmers market experience preferred.
- High degree of organizational and customer service skills with the ability to communicate effectively and tactfully with staff, elected officials, other levels of government, community groups and general public.
- Strategic thinker who can conceptualize easily and initiate new innovative ideas for the market and events.
- Ability to meet physical demands of the position which include carrying, lifting, and setting up heavy equipment.
- Ability to work outdoors in all weather conditions.
- Availability/flexibility to work evenings, weekends, special events, and at different sites (including every Thursday from May 22 to September11)
- Working knowledge of the Occupational Health and Safety Act, the Employment Standards Act, the Ontario Human Rights Code, the Occupiers Liability Act, the Day Nurseries Act, the Accessibility for Ontarians with a Disability Act and other safety/employment legislation, regulations and guidelines.
- Computer literacy in MS Office utilizing word-processing, spreadsheet, presentation and database software, Adobe Reader, and Microsoft Outlook software, Activenet, social media and the Internet. Experience with Canva preferred.
- Must hold an Ontario Class “G” valid driver’s licence in good standing.
- Working knowledge and understanding of the Municipal Alcohol Policy, Occupiers Liability Act, Alcohol and Gaming Commission of Ontario Act, Legal and Risk Management Policies (liability insurance), Building Code, Fire Regulations, and Amusement Devices Act.
- Working knowledge and understanding of related Municipal bylaws such as park use bylaw, noise exemptions, sign bylaw, SOCAN, and Road closure policies and procedures.
- Standard First Aid & CPR-C certified (or willing to obtain).
- Vulnerable Sector Check (or willing to obtain).
Rate of Pay: $23.06/ hour
