About the role

TAM International is currently searching for an Administrative Assistant to join our team!

The Role:
The Administrative Assistant supports the organization's executives and their teams by ensuring the office runs smoothly. This role involves a wide range of duties that contribute to day-to-day operations including managing schedules, coordinating events, handling correspondence (internal & external), and maintaining electronic records. This position also provides general administrative support across departments as needed.

Responsibilities:

  • Serve as the first point of contact, maintaining a professional and welcoming presence for visitors, suppliers, and inquiries.

  • Manage incoming communications, including calls, emails, and administrative inboxes.

  • Provide comprehensive administrative support, including document preparation, report compilation, presentations, and correspondence.

  • Coordinate meetings, events, workshops, and travel logistics, including scheduling and note-taking as needed.

  • Maintain and organize electronic records in accordance with data management and privacy standards.

  • Oversee office operations, including mail/courier services, supplies, equipment, and maintaining a clean, presentable workspace.

  • Liaise with vendors and external partners, including graphic designers, maintenance providers, landlords, and service contractors.

  • Manage office facilities, lease agreements, and day-to-day operational needs.

  • Support workplace culture and company values while maintaining strict confidentiality in all interactions.

  • Act as a safety ambassador, supporting safety protocols, emergency procedures, and quality management practices.

  • Perform other related administrative and operational duties as required.

Key Requirements:

  • 5-7 years' experience as an Administrative Assistant, or relevant role, required.

  • Strong knowledge of general office procedures involving procurement, travel arrangements, budget management, etc.

  • Superior typing, editing, and proof-reading skills

  • Able to write simple correspondence, including memos, letters, etc.

  • General mathematical skills and superior attention to detail.

  • Ability to apply understanding to carry out instructions in written, verbal, or diagram form.

  • Knowledge of supplies, equipment, and/or services ordering, as well as inventory control of these items.

  • Strong knowledge of Microsoft Office products, including Excel, Word, and PowerPoint.

  • Able to maintain filing systems and basic databases.

  • Excellent analytical and problem-solving skills.

  • Meticulous records maintenance skills.

  • Superior telephone manners and strong interpersonal skills.

  • Strong written and verbal skills to communicate with all levels of the organization and its executive team.

  • Strong customer service orientation.
