Facility Operations Coordinator
About the role
Key Responsibilities
Preventive Maintenance Scheduling: Administering and tracking preventative maintenance schedules to ensure compliance with standards. Contractor Management: Coordinating third-party contractors, ensuring safety orientations, permits, and job hazard analyses are in place before work begins. Work Order Administration: Creating, tracking, and closing out work orders through maintenance software. Vendor and Contract Management: Maintaining service contracts, vendor performance records, and scheduling inspections. Budget and Reporting: Assisting in managing the facility's operations budget, processing invoices, and preparing maintenance reports. Emergency Response: Documenting and tracking emergency incidents, including reports, progress, and repair invoices. Regulatory Compliance: Ensuring adherence to relevant legislation, such as fire, life safety, and occupational health and safety.
Qualifications & Skills
Education: Post-secondary education in Construction Project Management, building systems, or property management is often preferred. Experience: Generally 1–2 years of experience in facility maintenance or commercial property management. Technical Knowledge: Familiarity with building systems (HVAC, plumbing, electrical). Software Proficiency: Experience with MS Office and Maintenance Management Systems. Communication: Strong interpersonal skills for dealing with customers, contractors, and staff. Organization: Ability to handle multiple competing priorities in a fast-paced environment.
