Title: Medical Receptionist -Relief

Position Type: Full-Time, Contract (June 2025 to March 2026)

Hours: Between Monday and Friday, 8:00am – 5:30pm (availability required within this timeframe; exact schedule to be determined). No guaranteed hours; flexible, as-needed basis

Location: 962 Bloor Street West

Supervisor: Executive Administrator

How We Do It

Sistering operates on a trauma-informed and relationship-based model and our harm reduction philosophy is a core element of all the work we do: we are here to respond to participants’ needs, where they are at, in the moment, to support participants to learn how to reduce harm and/or increase safety. In addition, we recognize that their lives have meaning and value.

POSITION SUMMARY:

The Medical Receptionist -Relief plays a key role in supporting the daily operations of Sistering’s on-site medical clinic. This position acts as a liaison between physicians, clinic staff, and participants to ensure appointments and administrative tasks are managed smoothly and efficiently.

This is a relief position with no guaranteed hours. Relief team members are scheduled as needed, Monday to Friday, to provide coverage for staff absences, vacations, and periods of higher demand.

Ideal candidates will have flexible availability and the ability to pick up shifts on short notice.

RESPONSIBILITIES:

  • Schedule clinic appointments for participants meeting ICHA criteria and input information into the OSCAR medical system
  • Share appointment reminders with Case Management and Harm Reduction staff (where permission has been obtained)
  • Fax, scan, and manage clinical documents as required
  • Assist with follow-up on referrals and participant support tasks
  • Maintain accurate and confidential participant records
  • Identify and document program or system improvements to enhance clinic efficiency
  • Update Medical Reception Manuals and operational guidelines as needed
  • Perform a variety of administrative tasks to ensure smooth daily clinic operations

Other Duties as Assigned

QUALIFICATIONS:

  • Minimum one year of reception experience in a medical or low-barrier clinic setting
  • Familiarity with client or patient information systems (experience with OSCAR is an asset)
  • Bachelor’s degree in Social Sciences, Health Sciences, Equity Studies, or equivalent combination of education and experience
  • Strong interpersonal and communication skills, with the ability to build trust and collaborate effectively with medical staff, participants, and Sistering team members
  • Commitment to harm reduction principles and working from a trauma-informed approach
  • Experience supporting individuals who may face homelessness, mental health challenges, addictions, and histories of trauma
  • Proficiency with Google Docs, Microsoft Word, and Excel
  • Additional languages beyond English considered an asset

WORKING CONDITIONS:

This position works in the office and community. Sistering is a 24/7 operation, fast paced, intense environment. There may be the risk of exposure to potentially unpredictable behaviours and situations. Sistering is a pet friendly facility and as such, employees can expect to be in the proximity of animals.
