Duties and Responsibilities:
Reporting to the Manager, Co-operative Education, the Senior Co-op Program Administrator is primarily responsible for the complete lifecycle of undergraduate and graduate students’ admission to, and continuing participation in, the Co-op Program. The Senior Co-op Program Administrator is the departmental expert on co-op admission and continuation requirements.
The incumbent provides recommendations, clarification and information in these areas to faculty, staff and students across campus. They must ensure the timeliness, accuracy and integrity of all admissions and participation processes. The incumbent works in a collaborative manner with the other functional units within Co-operative Education and elsewhere in the University, including academic departments, to develop and implement solutions to issues relating to students’ eligibility to participate in the Co-op Program. They make participation exception decisions, consulting with the Manager as required. They develop and deliver timely communications to co-op students during the admissions and participation cycles in order to maximize Co-op enrollment and retention.
The Co-op Senior Co-op Program Administrator is responsible for training and directing the activities to the administrative team, in addition to assigning, directing and monitoring their activities. They have complete oversight over the co-op fee assessments and are responsible for analyzing enrollment data and providing periodic budgetary projections in consultation with the Manager, Co-operative Education.
Qualifications:
The incumbent must possess the following qualifications:
- Possess superior project management, communication, supervisory and organizational skills.
- They must also possess advanced Excel, database management, learning systems management, and overall technical aptitude, with the ability to recognize opportunities to implement new technologies to support the work of the team.
- They must be an agile, strategic thinker and possess a high degree of resourcefulness in order to find unique solutions which maximize benefit to all of Co-op’s stakeholders.
- They must possess excellent inter-personal skills and communication skills (oral and written).
- They must possess sensitivity, discretion and tact in order to build and maintain effective relationships with students, staff, employers and faculty while delivering sensitive or difficult information.
- The Senior Co-op Program Administrator must have a strong customer service focus and must be a recognized leader.
- They must possess a high degree of self-awareness and critical thinking skills, in order to select the best approach between firm decision-making and flexible application of rules.
- Strong analytical and problem-solving skills are required when dealing with issues that students may face during their participation in the Co-op Program.
- The Senior Co-op Program Administrator must have a thorough knowledge of the University’s policies and procedures, in particular the University’s admissions and continuation regulations as they pertain to the Co-operative Education program.
- Accuracy, quick thinking, attention to detail, and deadline-orientation are essential.
- The incumbent must have experience working with a multitude of Carleton University service departments, such as the Registrar’s Office, Accounts Payable, and Student Accounts.
- Must have demonstrated experience in leading a team and promoting positive team dynamics, especially during high-volume and high-stress periods.
Education and Experience:
The above is normally acquired through :
- Completion of a four-year Bachelor’s degree. Equivalencies may be considered.
- Five years related experience, including three years in an academic environment and two years of leadership and/or supervisory experience.
- Strong experience in Excel, Banner, and databases.
- Knowledge of the Co-operative Education Program admission, continuation and participation requirements across all disciplines is required.
