Job Purpose
Reporting to the Community Events Manager, the Food and Fund Drive Coordinator plays a key role in supporting the execution of The Food Bank's fundraising initiatives, with a primary focus on Food and Fund Drives. This role provides comprehensive administrative support for Food and Fund Drives, ensuring smooth operations and consistent communication with internal teams and external partners. The Food and Fund Drive Coordinator assists with planning, organizing, and executing events and Drives, fosters strong relationships with community coordinators and donors, and contributes to strategies that maximize engagement and financial support.
Responsibilities and Duties
EXAMPLES OF THE ROLE'S RESPONSIBILITIES AND DUTIES INCLUDE BUT ARE NOT LIMITED TO:
- Providing administrative support to the Philanthropy team:
- Managing administrative tasks for Food and Fund Drives, including creating basic marketing communications, preparing supplies and instructions, and performing data entry.
- Preparing welcome and sponsorship packages, thank-you communications, mailings, emails, and tracking key metrics when needed.
- Executing donor stewardship plans through mailings, emails, and thank-you calls, ensuring timely and meaningful engagement.
- Collaborating with the Marketing and Communications team to ensure all materials are accurately branded and consistent with The Food Bank’s messaging.
- Collaborating with and supporting various teams to drive fundraising initiatives and goals:
- Executing community events and Food and Fund Drives and providing on-site event support as needed.
- Assisting the Engagement program by providing backup support for execution of initiatives, fostering relationships, and identifying new engagement opportunities.
- Building and maintaining strong relationships with external Food and Fund Drive coordinators, ensuring their events are well-organized, successful, and impactful.
- Assisting team members in developing and implementing relationship-building strategies to maximize financial support and strengthen community connections.
- Assisting with other tasks as needed to support team and organizational goals.
Specific examples may vary from year to year as priorities of The Food Bank change.
Location and Hours
- The Food Bank of Waterloo Region is located at 50 Alpine Court in Kitchener, Ontario.
- The role is required to be onsite for the work week.
- Hours of work are generally between 8:30 am and 4:30 pm, Monday-Friday, for 40 hours per week (inclusive of 1 hour paid lunch each day). However, to meet the objectives of The Food Bank and commitments to our volunteers, members, and community, some irregular hours may be required. This would include no more than two evenings a week and/or two weekends a month.
Compensation
- The expected hiring range for this role is $44,030–$46,519 annually, based on qualifications and experience.
- The maximum compensation for this role is $54,457 per year, which may be achieved through progression, performance, and tenure.
Reporting Structure and Working Relationships
- The Food and Fund Drive Coordinator reports to the Community Events Manager.
- This role is an integral part of our Philanthropy team.
- A significant amount of time in this role is spent working with members of the public (i.e., Food and Fund Drive hosts) and other members of The Food Bank's Philanthropy team.
Minimum Qualifications and Experience
- Minimum 1-2 years of experience in administrative support, event coordination, fundraising, or a related role.
- Post-secondary education in community development, nonprofit management, education, social services, or a related field preferred.
- Proficiency with Microsoft Office products.
- A valid Ontario G-class driver’s license with access to reliable transportation.
- Experience with donor stewardship, fundraising initiatives, or community engagement activities is considered an asset.
- Experience with and/or knowledge of the principles and practices associated with fundraising is considered an asset.
- Experience with Raiser’s Edge or similar donor management software is considered an asset.
- Experience in the non-profit sector and/or with issues related to food insecurity is considered an asset.
An equivalent combination of education and experience will be considered.
Required Work Capacities (Skills and Abilities)
Physical demands:
- Approximately 80% of time spent on desk- or computer-based work, and 20% on standing, walking, or light physical activity.
- Some bending, twisting, lifting, carrying, pushing, and/or pulling items, including to/from floor.
- Performing activities requiring near and far vision, speaking, and hearing.
- Working primarily indoors in a shared office space with some exposure to warehouse conditions (temperature changes, dust and dirt, noise, and fumes).
- Local travel within Waterloo region (i.e., to internal and/or external events) is required.
Social, emotional, and cognitive demands:
- Superior attention to detail and organizational skills, with the ability to manage multiple priorities, projects, and deadlines efficiently.
- Exceptional communication skills with the ability to confidently engage with a diverse group of internal and external stakeholders.
