What you will be doing in the role of Office Administrator:
Your responsibilities may include, but are not limited to:
Recognition Program
- Annual administration of various aspects to the program.
- Budget overview and adherence.
- Update and maintain program data.
- Work closely with the management team.
- Plan and execute various events.
- Research and proposals.
- Source and maintain relationships with vendors.
- Process payments.
- Distribute internal information utilizing our intranet platform.
- Program maintenance.
- Track and monitor program metrics.
- Make informed recommendations utilizing a deep understanding of the program.
- Perform surveys and present findings.
- Daily monitoring of requests.
Event Administration
- Plan, organize, and execute annual Lakeside events.
- Provide support to our 6 Locations for their events.
- Adhere to budget.
- Work closely with the management team to provide event support.
- Support both large and small events, virtually and in person.
Intranet Platform
- Create and publish content.
- Organize and maintain documentation.
- Assist management and various teams with content creation support.
- Provide troubleshooting and training to staff.
- Utilize Microsoft 365 applications to create advanced content elements
Office Administration
- Back up reception desk support.
- Support of in-office customer and internal meetings.
- Track, monitor, and distribute requests.
- Documentation and filing.
- Providing assistance to the administration team, management team, and various other teams of Lakeside as needed.
- Attending meetings, taking minutes, distributing action items.
- Maintaining the physical spaces around the office such as meeting rooms and common areas.
- Maintain, track, and distribute inventory items as needed.
Knowledge and skills required for the role:
- University Degree, College Diploma or relevant equivalent in any discipline
- 1+ years of experience in administrative positions and customer/sales support
- Proficient in the use of MS Office (Excel, Word, PowerPoint, PDF Exchange, and Teams)
- Excellent communication skills
- Able to work independently, demonstrate resourcefulness and problem-solving skills
- Strong sense of drive, initiative, work ethic, and able to manage simultaneous tasks and responsibilities
- Excellent attention to detail and organizational skills
- Strong team player
- Customer orientation
