Role Details
Employment type: Full-time, 35-40 hours per week Location: Hybrid - remote & in-office Compensation: $25.00 CAD per hour Engagement: Initial engagement as an independent contractor, with the intention to transition onto payroll as the role becomes established.
The Companies
You will support five related entities. The main operating entity carries most of the day-to-day activity and a second entity is transaction-heavy on the sales and receipts side. The remaining entities have minimal activity today, including a newly established business that is expected to grow over time. All bookkeeping is maintained in QuickBooks.
General Duties
- Maintain QuickBooks records for all five entities, keeping bookkeeping current and up to date.
- Process day-to-day transactions, including sales receipts, deposits, vendor bills and payments.
- Prepare monthly bank reconciliations, credit card reconciliations and month-end journal entries for review.
- Prepare monthly management reports under the guidance of the Finance Director.
Government / CRA Duties
- Prepare quarterly HST remittances and supporting workpapers for review.
- Assist with annual HST filings and other legislated filings as required.
- Support responses to CRA correspondence and information requests.
Company-Related Duties
- Bi-weekly processing of vendor bills, including allocations and chargebacks to related entities (with guidance).
- Monitor and reconcile Accounts Receivable and follow up on outstanding items.
- Maintain organized, review-ready records and prepare year-end workpapers for the external accountants; assist with year-end queries.
- Flag anything unusual to the Managing Director or Finance Director - questions are encouraged.
Ideal Candidate
- 2+ years of hands-on bookkeeping experience, ideally in a small-business or multi-entity environment.
- Comfortable in QuickBooks and Microsoft Office, with strong Excel skills.
- Organized and reliable, with strong time management and communication skills.
- Values stability, variety and a clear growth path - happy owning the day-to-day books and building responsibility over time.
- Experience helping document or improve bookkeeping processes (nice to have).
Milestones & Expectations
First 3 Months:
- Comfortable navigating all five entities and understanding how they relate to one another.
- Day-to-day bookkeeping is current across all entities.
- Completing monthly bank and credit card reconciliations for review.
First 6 Months
- Routine processes for reconciliations, vendor bills and month-end entries are established and documented.
- Preparing monthly management reports with minimal rework.
- Working understanding of intercompany activity; able to flag and help resolve discrepancies.
First 12 Months
- Own HST remittance preparation end to end, filed after Finance Director review.
- Own year-end workpaper preparation for the external accountants.
- Own the day-to-day accounting function across all entities, with Finance Director oversight on a review basis.
