Position Title– GOAPRDJP00000981 - Administrative Assistant
Location: Calgary, Edmonton Alberta (Hybrid) Mode: Contract Position Overview Successful candidate will be responsible for managing correspondence, maintaining records, processing documentation, supporting document management activities, and ensuring the efficient operation of administrative functions while maintaining confidentiality and accuracy.
Key Responsibilities
Provide administrative and operational support to program staff and management. Receive, sort, distribute, and process incoming and outgoing mail and correspondence. Scan, file, route, and maintain physical and electronic documents in accordance with established records management procedures. Support document management activities, including reviewing, tracking, and preparing documentation for management review and approval. Perform accurate data entry and maintain electronic records and document repositories. Monitor and replenish office supplies, forms, envelopes, and other administrative resources. Coordinate inter-office mail, courier services, and document distribution. Respond to routine inquiries and direct requests to the appropriate business areas. Support administrative processes related to applications, verification activities, and client documentation. Ensure confidential and sensitive information is handled securely and in compliance with organizational policies. Assist with special projects and perform additional administrative duties as assigned. Participate in mandatory organizational training, including Information Management, Privacy, Security, Cybersecurity, and Workplace Respect programs.
Required Qualifications
High School Diploma or GED. Minimum 1 year of experience in customer service, retail, or a comparable client-focused environment. Minimum 1 year of experience working in a fast-paced environment requiring problem-solving, troubleshooting, and multitasking. Minimum 1 year of experience performing work that requires strong analytical skills, attention to detail, and accuracy. Minimum 1 year of experience managing multiple priorities and meeting deadlines in a complex work environment. Strong organizational, time management, and administrative skills. Excellent written and verbal communication skills in English. Ability to work independently while collaborating effectively within a team environment. High level of professionalism, discretion, and commitment to maintaining confidentiality. Proficiency with Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) and electronic document management systems.
Preferred Qualifications
Experience with records and document management, including the lifecycle management of physical and electronic records. Experience working within the Government of Alberta or a similarly large and complex public sector environment. Experience supporting projects involving multiple technical or business environments. Previous administrative support experience in a government, corporate, or regulated environment. Familiarity with information management policies and document control procedures.
