About the role
Job Purpose:
This position will provide administrative support to program management, instructors, students, and other clients associated with Language Programs, with a strong focus on the evening program, ensuring smooth operations and efficient service delivery.
Responsibilities:
- Respond to general inquiries and requests (in-person, via phone, or email) related to LINC Programs/Classes.
- Assist clients with onsite registration for the LINC Program and complete the necessary steps in the registration process.
- Accurately create, revise, process, and manage documents such as student files and attendance records.
- Be trained as a CHAD and iCARE user to manage daily tasks, including but not limited to entering, maintaining, and updating student information, attendance, and learning history.
- Communicate with students regarding attendance reminders and ensure their consistent attendance.
- Process students' enrollment and withdrawal to maintain full enrollment and high occupancy rates.
- Collaborate with the administrative team and instructors to support students and clients.
- Assist in coordinating events such as new student orientations, professional development days, field trips, LINC staff meetings, room bookings, and promotional activities.
- Provide administrative support to program administrators as needed.
Qualifications & Requirements:
- Post-secondary Diploma or Degree in Business Administration, Teaching English as a Second Language, or a related field
- Previous experience in Administration or a related role
- Proficient in computer technology, with exceptional skills in Microsoft Office, Adobe Acrobat, and data entry
- Strong attention to detail, with the ability to handle confidential information responsibly.
- Flexible and able to work under pressure to meet deadlines
- Excellent team player and communication skills
- Fluent in other languages is an asset
- Problem-solving skills and resourcefulness to develop new ideas and administrative procedures
- Culturally competent, familiar with serving clients from diverse backgrounds
- Familiarity with Canadian Language Benchmarks is a plus
- Understanding and adherence to CFN’s Mission
Working conditions:
- Classroom/Office environment
- Travel to the community centre to provide support to Community-based instructors and students if needed; must have a Class 5 driver’s license and access to a vehicle is preferred.
- 37.5 hours per week; Saturday and evening shifts are required.
Physical requirements:
- Occasional lifting and carrying of items, such as office supplies or equipment, up to 20 lbs.
- Assisting with the setup and teardown of tables and program materials during promotional events or staff meetings.
- Capability to visit various program locations if required.
This is a 1 FTE position (until March 31, 2026), 37.5 Hrs/week and reports to Coordinator, Language & CBCNC Programs.
