About the role
Reporting to the COO, the Maintenance Manager plays a critical role in ensuring the smooth, safe, and efficient day-to-day operations of Calgary Heritage Housing (CHH) properties. This position is responsible for overseeing tenant maintenance requests, supervising the Maintenance Team, coordinating vendor services, and ensuring that all maintenance activities meet CHH standards. The Maintenance Manager is a hands-on leader who fosters a culture of safety, responsiveness, and professionalism while maintaining strong relationships with tenants and internal teams.
Key Responsibilities
Maintenance Operations

Primary accountability for unplanned and non-capital maintenance, and projects under $5,000

Work with the Facilities Project Manager to set weekly and daily priorities for the Maintenance Team.

Work with Maintenance Team to contact contractors as appropriate and coordinate access for vendors and contractors, ensuring timely and quality service.

Direct suite turnovers under $5,000, working with the Maintenance Team Lead to ensure units are ready for occupancy within 30 days. Coordinate with Facilities Project Manager on projects over $5,000.

Supervise day-to-day vendors (e.g., janitorial, plumbing, electrical).

Ensure maintenance offices, workshops, and in-building spaces are clean and organized.
Digital Strategy

Partner with the COO to implement and execute a digital strategy for the Maintenance Team.

Ensure all maintenance-related requests are accurately documented in the Yardi Work Order system, including receiving tenant requests directly and dispatching Maintenance Technicians.

Enhance the team’s use of Yardi by providing training, guidance, and ongoing mentorship.

Collaborate with the Maintenance Administrator to review and analyze Work Order statistics.

Support the Maintenance Team in understanding performance metrics, identifying areas for improvement, conducting self-assessments, and maintaining accountability.
Team Leadership & Safety

Supervise, mentor, and support Maintenance Technicians
-
Assist with hiring, handle performance management and goal setting with Maintenance Techs.

Conduct regular toolbox meetings and promote a culture of workplace safety.
-
Ensure compliance with Occupational Health and Safety (OHS) standards.
-
Coordinate on-call emergency maintenance coverage and vacation scheduling.
-
Support on-call staff alongside the Facilities Project Manager and Maintenance Team Lead.
Inventory & Purchasing
-
Manage inventory control and ensure adequate supplies for daily operations.

Work with the Maintenance Administrator to improve inventory tracking adoption in Yardi
-
Oversee purchasing and delivery of parts and materials.
-
Ensure accurate tracking and organization of supplies across all CHH sites.
Tenant Relations

Maintain positive and respectful interactions with tenants.

Ensure timely follow-up on maintenance issues and complaints.

Coordinate scheduling of Annual Suite inspections with Operations Manager

Coordinate move-ins and move-outs with Building Administrators and Operations Manager.

Education and Experience Requirements

Minimum 5 years of experience in building maintenance or operations.

Supervisory experience in a maintenance or facilities environment.

Strong knowledge of building systems, maintenance practices, and vendor coordination.

Proficiency in Microsoft Office Suite

Experience with Yardi or other property management software.
-
Familiarity with OHS regulations and safety protocols.
-
Excellent organizational, communication, and problem-solving skills.
-
Valid driver’s license and access to a reliable vehicle.
