Are you interested in a new service delivery model at CAMH? Have you heard about Project HIVE? Come join a brand-new team: The Centralized Staffing and Scheduling Office (CSSO)! Project HIVE is the next step in CAMH’s multi-year journey to empower our people and build a connected CAMH between core business functions and front-line operations. It will be activated by implementing new business processes and a new Enterprise Resource Planning (ERP) system. HIVE will power us from our core business functions to frontline staff incorporating People and Experience, Finance, Supply Chain, Payroll, and Workforce Management and Scheduling.
The Centralized Staffing and Scheduling Office will serve all Inpatient Units, the Emergency Department, and Support Services Departments (Food and Nutrition Services, Environmental Services, Security Services). With a robust team operating from 6:00am to midnight, 7 days per week, the CSSO will unlock opportunities for staff to have more time for value-add activities instead of dealing with today's workarounds.
The Centralized Staffing and Scheduling Team is currently seeking six (6) full-time, temporary (1 year) Scheduling Clerks.
Reporting to the Manager of the CSSO, the Scheduling Clerks will primarily focus on filling shift gaps on posted schedules, administrative exchanges, and call-outs to staff available to cover short-notice absences according to the OPSEU and ONA Collective Agreements, CAMH policies and legislation as applicable.
Key Accountabilities
- Resolve basic scheduling queries
- Maintain and update the scheduling system to ensure accurate and up-to-date information
- Coordinate staffing matters through Oracle under the direction of the CSSO manager/delegate
- Assess and triage scheduling cases
- Escalating complex issues to the Scheduling Specialist and Manager
- Problem solving and trouble shooting
- Communicating staffing changes and updates to relevant departments
- Provide administrative support to the CSSO team
- Prepare and distribute staff schedules
- Ensure staffing profiles are accurate and up to date.
The successful candidates will support a workplace that embraces diversity, encourages teamwork, and complies with all applicable regulatory and legislative requirements. These positions are located at the Queen Street Site.
About We are looking to have the full team onboarded for mid-November to align with Project HIVE timelines. You will be training, learning about and testing the new Oracle Scheduling System while building our team and our standardized scheduling practices incorporating the ONA and OPSEU collective agreements. Your initial schedule will be based upon the needs for onboarding, training and testing phases, and will change from 8-hour weekdays to align with the hours of the CSSO as go-live approaches. There are three (3) work shifts for Scheduling Clerks in the CSSO:
- 6 am to 2 pm;
- 9 am to 5 pm, and
- 4 pm to midnight,
7 days per week. Full-time and part-time scheduling clerks will have master schedules so you will have predictable workdays and times. The go-live for Oracle and the CSSO is at the end of March 2026.
Job Requirements
- Post secondary program
- Up to 1 year of experience of scheduling experience, hospital setting or other fast paced environment preferred
- Experience with scheduling and procurement software an asset
- Demonstrated proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Comfortable with technology and able to learn new software quickly
- Ability to maintain confidentiality and knowledge of privacy legislation
- Strong verbal and written communication skills
- Ability to interact professionally with patients, staff, and external contacts
- Excellent customer service skills
- Bilingualism (French/English) or the ability to speak a second language is an asset
