Job Description ABOUT THE POSITION Reporting to the Manger, Community Development, the Coordinator of Grant Programs is a highly organized, collaborative, and detail-driven team-player who is just as comfortable operating in a corporate setting, as they are in a community one. Success in this role requires a strong mix of project management, relationship-building, and administrative skills to support the delivery and impact of MLSE Foundation’s grantmaking programs. You’ll need to be comfortable managing competing priorities, driving systems, and streamlining processes, while also showing care and responsiveness in supporting our partners. A growth mindset, exceptional communication skills, and a commitment to equity and community development are essential. WHAT YOU’LL BE DOING: Grant Program Operationalization (35%): You will play a key role in delivering the annual Community Action Grant program by supporting internal processes, systems, and workflows that keep things running smoothly. Annual Grant Cycle Execution: Support all stages of the grant cycle, including planning, public rollout, adjudication committee coordination, fund disbursement, and reporting. Ensure timelines are met, documentation is accurate, and the process reflects MLSE Foundation’s commitment to equity and transparency. Grant Management System (GMS) Operations: Serve as the day-to-day administrator of MLSE Foundation’s GMS (Good Grants). Create and maintain application forms, communication templates, and backend workflows. Provide technical assistance to applicants and troubleshoot system issues in collaboration with software vendors. Records Management: Ensure all grant records and documents are up to date, organized, and compliant with CRA regulations and MLSE Foundation’s internal policies. Support the preparation and processing of grant disbursements and related financial documentation. Grantee Relationships & Partner Support (35%) You will act as a key relationship-builder, helping to create a strong network of community partners and ensuring they feel supported throughout the granting process. Applicant Engagement & Support: Serve as a first point of contact for applicants, offering guidance on eligibility, application questions, and technical support. Help assess fit and alignment with MLSE Foundation’s granting guidelines and provide a positive and accessible applicant experience. Relationship Management & Stewardship: Foster open, two-way communication with grantees to build trust, gather feedback, and identify opportunities to enhance the grant program. Actively steward relationships to support a positive connection with the MLSE Foundation brand. Capacity-Building & Partner Services: Connect funded partners with additional supports including: Site visits, storytelling and content opportunities, donation program, measurement & evaluation tools etc, to help strengthen partners' ability to deliver impact in their communities. Operations and Administrative Support (30%) Beyond program execution, this role plays a critical part in maintaining the behind-the-scenes infrastructure that enables our grants to flow efficiently ensuring strong documentation, financial accuracy, responsive communication, and internal team organization. Records & Compliance Management: Maintain complete and accurate records for all grant-related activities, ensuring proper documentation is in place for audit, compliance, and reporting purposes. Align all processes with CRA requirements, internal policies, and MLSE Foundation by-laws. Financial Administration: Coordinate the preparation and submission of financial documents including grant agreements, invoices, payment requests, and receipts. Work closely with internal finance teams to ensure timely and accurate disbursement of funds and payment of expenses. Inbox & Public Inquiries: Manage the general grant inbox, triaging incoming messages, responding to applicant and public inquiries, and directing requests to appropriate team members. Ensure timely, professional, and consistent communication with external stakeholders. Reporting & Impact Analysis: Support the preparation of quarterly board reports and annual funding summaries. Help synthesize grant data and partner feedback to demonstrate program outcomes and inform strategic decisions. Team Operations & Systems Support: Oversee and maintain the organization of MLSE Foundation’s SharePoint system, ensuring documents are filed accurately and accessible. Support overall team efficiency by contributing to process improvements, workflow documentation, and internal knowledge-sharing tools. Experience with grant management systems or CRM platforms is a plus, but your curiosity and adaptability are just as valuable. EDUCATION & EXPERIENCE Post-secondary degree or diploma in a relevant field (e.g., nonprofit management, public administration, community development, business, or a related discipline). 1–3 years of professional experience, ideally in an administrative, grants management, or nonprofit setting. Experience using Grant Management Software (e.g., Good Grants, Blackbaud, WizeHive) or Customer Relationship Management (CRM) tools (e.g., Salesforce, HubSpot) is a strong asset. Prior experience in the nonprofit or charitable sector, particularly in grantmaking or program coordination, is considered an asset. Valid driver’s license. Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and/or quick to learn new digital tools. Willingness to work occasional evenings and weekends as required to support program activities and site visits. Commitment to upholding MLSE policies, including Health & Safety and service standards.
