Waypoint Centre for Mental Health Care is a 315-bed academic and teaching hospital that provides specialized mental health, addiction and geriatric care. Located on the shores of Georgian Bay, we serve some of the most complex and disadvantaged individuals in Ontario and are the sole provider of high-secure forensic mental health services in the province.

KEY ACCOUNTABILITIES:
- Record all monies, cash, cheques, EFTs, bank drafts, vocational pay received in the Cashier Office; counts, codes and posts monies to appropriate accounts; prepares and issues receipts and signs accompanying paperwork when necessary.
- Maintain a cash float for patient pin money withdrawals and accurately dispenses funds to patients on presentation of authorized pin money requisitions; balances daily all pin money posted transactions; reconciles the receipts, pin money requisitions and cheques to the Account Balance Listing totals before closing the day; ensures all active pin money accounts are administered according to hospital policies and approved by individual patients; prepares daily bank deposits of all receipts for pin money.
- Post adjustments for NSF’s, stale-dated and internal cash transactions between patients; investigates and replaces outstanding stale dated cheques and mails to known forwarding addresses, or deposit to D&D bank account for dormant accounts; post replacement cheque information; prepares account clearance cheques for discharged patients and transfers the account to “dormant” status.
- Verify fund availability from patient accounts for their local purchases, reserves funds and prepares cash withdrawals to cover these committed purchases, prepares debit slips for patient personal phone calls and posts them to patient accounts; expedites local purchases for patient’s orders. (Atrium). Post monthly transactions for cable charges (Atrium).
- Disburse authorized funds from petty cash and ensures fund is replenished to maintain an adequate amount of cash on hand; contacts individuals stating if funds are approved or available, and disburses funds accordingly; prepares pay packets for patients in Regional Workshops, obtaining Vocational Clerk’s signature for packets release.
- Maintain a detailed list of D&D account balances.
- Manager has the right to assign additional duties.
REQUIREMENTS/QUALIFICATIONS:
- Knowledge of internal controls to safeguard cash and ensure segregation of duties.
- Knowledge of Public Trustee, Hospital policies and procedures to ensure proper handling of patient accounts, check financial documents for accuracy, proper codes and authorizing signatures, and resolve discrepancies before payments are processed.
- Knowledge of arithmetic to calculate and reconcile accounts by checking documents and resolving discrepancies.
- Knowledge of word processing, spreadsheets and financial software e.g. Microsoft Word, Excel, Outlook, Great Plains, to produce material such as letters and reports and to maintain accounting records.
- Verbal communication and interpersonal skills to deal with patients with psychiatric illnesses in a courteous and efficient manner. Verbal and written communication skills to provide information and/or discuss and resolve accounting matters with patients, staff, managers, banks and other stakeholders.
- Arithmetic skills to verify and reconcile account information and to balance pin money and petty cash funds at the end of every shift.
- Analytical skills to identify problems such as account variances, over/under payments and in choosing best methods to resolve by verifying costs and contacting staff, banks and other stakeholders (i.e. Public Trustee); reasoning, analytical and forecasting skills to maintain adequate cash flow for petty cash and patient pin money funds.
- Organizational skills based on knowledge of subject matter, when performing a variety of different tasks within established deadlines.
- Manual dexterity in order to type, use a computer, calculator, fax machine, and photocopier.
- Customer service and interpersonal skills to provide information and resolve situations where disagreements exist
