GENERAL PURPOSE OF THIS JOB
Reporting to the HR Manager, the Administrative Coordinator provides confidential administrative and coordination support across a range of Human Resources activities. A key focus of the role is the planning and coordination of employee events throughout the year, including organizing logistics, scheduling, communications, and related documentation. The position also supports routine HR administration, such as data entry into the HR Information System (HRIS), responding to routine employee inquiries, and preparing, maintaining, and filing HR documentation, while ensuring accuracy, discretion, and professionalism at all times.
ESSENTIAL DUTIES AND RESPONSIBILITIES
HEALTH AND SAFETY
- Work in compliance with all Health and Safety rules and regulations for Cementation.
- Be aware of any health and safety hazards or infractions and report same to Health and Safety Department.
- Participate in department safety huddles and incident imaging.
GENERAL DUTIES AND RESPONSIBILITIES
- Provide general administrative support to the HR Team.
- Provide timely, professional, and courteous and confidential interaction with all employees and external vendors.
- Assist with the day-to-day administrative functions of the department.
- Lead the coordination of company functions, special events, and training events.
- Assist with the coordination of logistical aspects of departmental programs, such as meetings, seminars, workshops, special projects, and events.
- Complete employee lifecycle transactions (new hires, promotions, salary adjustments, terminations, transfers, leave of absence, etc.) accurately and efficiently in HRIS ensuring data integrity and proper approval levels are assigned and obtained.
- Maintain personnel files and required compliance paperwork.
- Create and run reports as required through utilization of the HRIS.
- Create/update job descriptions and maintain inventory of all job descriptions.
- Other duties as assigned.
EDUCATION AND EXPERIENCE
- Postsecondary diploma in Business Administration or a related field, or an equivalent combination of education and experience.
- 3–5 years of progressively responsible administrative experience in a fastpaced, professional office environment.
- Demonstrated experience providing advanced administrative support, including document preparation, correspondence, data management, scheduling, and coordination of competing priorities.
- Proven experience working with numerical data, spreadsheets, and reports requiring a high degree of accuracy.
- Advanced proficiency with Microsoft Office, with demonstrated experience using Excel, Word, Outlook, and PowerPoint in a professional setting.
- Experience handling confidential and sensitive information in a position requiring discretion and sound judgment.
SKILLS, KNOWLEDGEABILITIES
- Exceptional attention to detail, accuracy, and follow
- Strong written communication skills, including the ability to produce clear, professional correspondence and documentation.
- Welldeveloped organizational and timemanagement skills, with the ability to prioritize workload and meet deadlines.
- Strong analytical and problemsolving skills, with the ability to identify issues, reconcile information, and apply logical solutions.
- Ability to interact with others sensitively, tactfully, diplomatically, and professionally at all times.
- Ability to work independently as well as collaboratively within a team environment.
- Strong technical aptitude, including efficient keyboarding skills and confidence working in shared document and electronic filing environments.
