Research Coordinator II GEMINI ( www.geminimedicine.ca ) is a unique big data platform in the Canadian healthcare landscape using advanced methods and analytics to extract and standardize data captured in hospital electronic health records. GEMINI currently holds data on all medical and ICU inpatients from 35+ hospitals across Ontario, linking structured administrative data to rich, granular clinical information extracted from electronic health record systems. GEMINI data are stored within a secure, high-performance computing environment and are used by a large community of clinicians, scientists, and students to support observational research, quality improvement, and artificial intelligence applications. GEMINI is a platform for Ontario hospitals to accelerate research and quality improvement, leading to excellent hospital care.
Our team is seeking a Research Coordinator II to support GEMINI’s large portfolio of research projects and external partnerships. The successful candidate will coordinate several multi-institutional research studies, overseeing activities such as developing research protocols, preparing REB submissions, managing project timelines and deliverables, coordinating stakeholder engagements, and synthesizing research outputs for diverse audiences. This role acts as a central point of contact between internal and external researchers, clinicians, scientific advisors, and data scientists, helping to ensure research projects progress efficiently and collaboratively. The successful candidate will bring strong organizational and communication skills, thrive in a fast-paced research environment, and be comfortable managing multiple priorities simultaneously. This position includes all of the duties/responsibilities of the Research Coordinator I position, as well as:
Research & Coordination (50%) Coordination of research study activities: Provide day-to-day operational leadership for multi-institutional research studies, managing timelines, resources, deliverables, and study workflows
Assist investigators in the development and implementation of study protocols and related study documents
Prepare, coordinate, and track REB submissions and amendments for research projects
Synthesize and communicate research activities and outputs (e.g., prepare summary reports, executive briefs, slide decks, progress updates)
Support the development, review, and submission of research proposals, grant applications, and manuscripts (e.g., drafting outlines, manage references)
Design and implement project management tools and processes (e.g., workflows, Gantt charts, milestone trackers) to support project management and capacity planning
Identify and implement opportunities to streamline research operations and improve efficiency across the portfolio
Administrative (35%) Coordinate the development and execution of study agreements (e.g., clinical study agreements, data transfer agreements, subgrants) and support related regulatory requirements in collaboration with internal and external stakeholders
Support submission and amendments of project proposals
Coordinate and facilitate meetings with internal and external stakeholders (e.g., support scheduling, prepare agendas, take meeting minutes, follow-up actiosn items)
Develop and maintain training materials, standard operating procedures (SOPs), and operational manuals
Plan and execute research-related and knowledge translation events (e.g., workshops, stakeholder meetings), including logistics, vendor coordination, and communications
Develop and maintain research study budgets and fund transfer schedules, reconcile project expenditures and coordinate financial transaction
Liaise with vendors and institutional offices regarding service agreements, procurement, invoicing, and reimbursements
Team Support (15%) Serve as a primary liaison for the GEMINI operations team
Support staff capacity building: Assist with hiring and onboarding of new staff, researchers, and students
Effectively liaise with investigators and researchers from various research partners, such as, hospitals, research institutes, and universities throughout research studies
Coordinate, train, mentor and delegate tasks to other Research Coordinators
Support team members with other tasks as needed
Performs cross functional and other duties as assigned and/or requested. Responsibilities All staff are expected to carry out their assigned duties and responsibilities in a manner which prioritizes patient and employee safety, and confidentiality. Key accountabilities in this regard include:
Strict compliance with patient/employee confidentiality practices and policies.
Strict compliance with patient/employee safety practices and standards.
Appropriate identification, reporting and response to patient/employee confidentiality breaches in accordance with established policies and procedures.
Appropriate identification, reporting and response to patient/employee safety risks and incidents/events in accordance with established policies and procedures.
Qualifications Undergraduate degree in public health, epidemiology, health research methods, or related discipline and three years of relevant research/program coordination experience in a public sector or academic setting OR demonstrable equivalent combination of specialized education and experience
Demonstrated project planning and coordination skills, particularly for cross-institution research projects with an interdisciplinary team
Strong project planning and organizational skills, with the ability to manage multiple priorities and meet deadlines in a fast-paced environment
Excellent written and verbal communication and presentation skills, with the ability to tailor communication to diverse audiences
Familiarity with research concepts supporting reasonable understanding of scientific manuscripts
Exceptional attention to detail, strong problem-solving skills, and a proactive, resourceful approach
Proficiency with Microsoft Office, Google Suite and Smartsheet applications
Experience using reference management software (e.g. Zotero, Mendeley, etc.)
Demonstrated ability to handle confidential and sensitive information with discretion
Experience in developing content for website or social media platforms an asset
Experience with generative AI tools (e.g., ChatGPT) as an end user is an asset
