The department of Financial Services is seeking an Accounts Payable Assistant to join their team. The job is part of a team that supports the delivery of accounts payable services and the generation of payments on Division-wide basis. The work is driven by results, timelines and efficiency and performed in compliance with Financial Services policies, procedures and guidelines and Public Sector Accounting Standards (PSAS).
RESPONSIBILTIES:
- Process a wide range of Accounts Payable transactions in compliance with policies, legislation, contracts, and PSAS;
- Verify invoices, staff reimbursements, travel claims, and GL coding for accuracy;
- Manage cheque runs, direct deposit files, voids, reissues, adjustments (GST, mileage, currency), and Receiver General submissions;
- Prepare banking files, upload outputs to financial systems (Cayenta, CAFT), and resolve related errors;
- Serve as a primary contact for vendors, government agencies, and division staff regarding payments, inquiries, and issue resolution;
- Maintain AP records, vendor files, credit applications, and ensure proper document retention and archiving;
- Provide support with complex Accounts Payable tasks, including resolving payment issues and clarifying policy or process questions for staff and vendors;
- Support the Supervisor of Accounts Payable and Senior Accounts Payable Assistants with complex payment issues, clarification requests, and escalated Accounts Payable tasks as needed.
QUALIFICATIONS, COMPETENCIES and SKILLS
- Diploma in Office Administration or related field, with three years of relevant experience;
- Strong knowledge of electronic financial systems (including Cayenta), Office 365, Excel, and Outlook;
- Understanding of basic accounting principles, full‑cycle Accounts Payable, 3‑way matching, GST regulations, and financial policies;
- Experience working in a fast‑paced, high‑volume transaction environment;
- Knowledge of FOIP, records management practices, and applicable provincial legislation (e.g., Alberta Education, Alberta Infrastructure, OHS);
- Familiarity with division operations and school programs;
- High accuracy, attention to detail, and strong numerical skills;
- Excellent communication and interpersonal skills with the ability to explain complex AP processes to staff;
- Strong judgment, problem‑solving abilities, and the capacity to manage competing priorities and tight deadlines;
- Ability to work independently, maintain confidentiality, and provide effective client service to staff and vendors;
- Flexibility to work outside core hours when required during peak periods.
