Accounts Payable Analyst

Blue Ant Media has an opportunity for an Accounts Payable Analyst with strong attention to detail and good judgment to work within the accounts payable department.

The successful candidate will be a person who can organize and accurately complete various assignments in a fast-paced environment.

This role is well suited for an individual experienced in a general accounting function and/or accounts payable professional ready to support the existing infrastructure.

This role is a replacement and will report to the Manager, Accounts Payable and is a hybrid position requiring in-office attendance at our head office in Toronto for a minimum of three (3) days per week.

The anticipated salary range for this role is $60,000 - $65,000 per year, with final compensation determined by experience and qualifications.

Core Responsibilities & Duties

  • Process, verify and reconcile invoices to ensure they are accurately reported in NetSuite, including use of purchase order functionality
  • The Toronto team is responsible for finances in Canada, U.K. and U.S.
  • The AP Analyst will complete the payment process, including electronic funds and wire transfers, ensuring timely processing with proper supporting documentation and complying with internal control requirements
  • Ensure all payments are recorded in the system timely and accurately
  • Communicate and respond to vendors concerning payables issues on payment status and disputes
  • Reconcile vendor statements and address all past due items as applicable
  • Review and process staff expense reports and perform departments’ credit card reconciliation, ensuring all supporting receipts are attached
  • Assist in the preparation of monthly bank reconciliations
  • Assist with training new staff on how to submit invoices and prepare expense reports
  • Help manage payables inquiries through Finance Helpdesk System and provide departments’ effective supports and guidance of the process
  • Contribute ongoing payables process improvements and efficiency
  • Set up new vendors and review new vendor requisitions in NetSuite
  • Assist in forecasting the payments and updating the cash flows file to ensure funding requirements are met
  • Prepare treasury transfers and assist with monthly intercompany reconciliation analysis
  • Perform filing monthly HST returns and withholding tax remittances
  • Assist in the compilation of working papers for tax compliance
  • Engage in all aspects of month-end, quarter-end and year-end closing processes, including analyzing and accruing expenses, preparing monthly journal entries, and performing monthly balance sheet reconciliation for various accounts
  • Support internal and external audits, including preparation of working papers
  • Perform ad hoc projects and/or duties as required

Qualifications

  • Minimum 3+ years of work experience in an accounts payable department
  • Knowledge of cloud accounting systems, ideally NetSuite and MS Office/SharePoint
  • Proficient in MS Office, particularly Excel and Word
  • Strong attention to detail and accuracy
  • Strong organizational skills to be able to handle a large volume of invoices and payments
  • Strong time management skills and flexibility to tackle various priorities and meet deadlines
  • Strong oral and written communication skills with customer-focused mindset, dealing with all levels of employees and vendors
  • Strong appetite for continuous learning in a growing and dynamic environment, where ability to adapt and change is a must
  • Ability to resolve problems and implement solutions
  • Willingness to work effectively independently and as a strong team player, establishing cooperative working relationships
