Primary responsibility is to work with IT PMs to update and manage IT budgeting, resourcing, forecasting and update Total Cost of Ownership (TCO) for IT Projects. Cost management in SAP and ServiceNow.

Scope of Accountabilities & Responsibilities:

  • Executes within financial governance process per agreed timelines to report the monthly/annual/ D& IT Project budgeting/ forecasting (e.g. reconciliation, variance analysis, incurred costs (including accruals)).

  • Assists with Project Controls processes and financial governance/controls, such as updating the Total Cost of Ownership throughout the project lifecycle, managing onboarding/offboarding of project resources, setting up contractor resources in FieldGlass (time entry management), as well as other tasks as required.

  • Manages cost plans and project updates in ServiceNow.

  • Validates and reviews time-sheets for approval

  • Reports project delivery resource time allocations and estimates.

  • Ensures compliance with key project deliverables within the governance framework (eg. Project Charter, Change Requests, Decision Records, Total Cost of Ownership and Project Closure).

  • Assists in the execution of project change management process including creating Change Requests, gathering information from working team, assists the PM to perform impact analysis on schedule and budget.

  • Enters Salesforce VRM requests for project related purchases and laisses with VMO team for contract and purchase orders.

  • Provides PMs with financial support for the LRP budgeting and planning of continuing projects.

  • Reviews, verifies and accurately processes project related transactions through Salesforce VRM, SAP, OpenInvoice and other applicable systems.

  • Provides financial input to Project Approval Requests (PARs) guided by the Corporate Planning Framework for investments over $1MM Total Implementation Cost (TIC).

  • Assists with SharePoint site creation and information management, including document management, approvals, lists, logs and MS Teams channels.

  • Monitors project schedules for variance against baselined milestones.

  • Collects reviews and publishes project status reporting under PM’s guidance.

  • Assists in document approval process including managing artifacts to be saved in the proper folders and creates approval request in ServiceNow and follow ups.

  • Follows up on Project Statement of Work (PSOW) status and track goods received for hardware and software purchases.

  • Provides instruction to 3rd party vendors of invoicing process (e.g., guidance on account setup in OpenInvoice, invoice submission requirements, invoice coding to use) and assists with invoice validation, payments and tracking. (e.g. Check invoice accuracy against signed PSOW, code to AFE, route for payment approval, follow up with VMO, perform journal entries (JE) where required.)

Qualifications:

  • Experienced in using ERP and other corporate systems such as SAP /ServiceNow / Excel / Power BI
  • Excellent interpersonal and communication (verbal and written) skills and proven ability to work effectively with all organizational levels.
  • Proven analytical, evaluative, and problem-solving abilities
  • Ability to adapt to conflicting demands and rapidly changing priorities
  • Exceptional attention to detail
  • Personal qualities: tact and discretion when dealing with sensitive and confidential information
