By working as an Administrative Assistant, Floater you will have the opportunity to work and meet people from across various departments, by providing administrative support covering desks during short- and long-term absences.
The Administrative Assistant, Floater may be assigned to a variety of departments within our regulatory stream. In this role, you will provide administrative support wherever needed, assisting teams that oversee regulatory processes, assess professional conduct, and address concerns related to the legal profession. Your responsibilities will include supporting department operations and contributing to the effective administration of regulatory activities across multiple areas.
Success in this position requires excellent communication, organizational, time management, interpersonal skills, and strong attention to detail. The work may be assigned on-site in a standard office environment, which involves a combination of computer work and administrative tasks.
Key Accountabilities
Depending on which department you are assigned, your day-to-day responsibilities may include the following:
- Providing administrative support to the assigned department.
- Developing and maintaining professional working relationships with staff, other departments, and internal and external stakeholders.
- Providing file management and organization services for paper and electronic files, including but not limited to: file set up; indexing; removing irrelevant materials; photocopying and/or scanning materials; conducting court searches and/or filings; and performing follow up diarization and maintenance.
- Maintaining diarization systems and databases.
- Preparing, distributing, tracking, and following up on correspondence, including letters using appropriate templates.
- Answering telephone/email inquiries, responding professionally to internal and external stakeholders.
- Assisting in the preparation and distribution of materials prepared by department staff, as required.
- Producing scheduled and ad hoc reports.
- Performing general office duties.
- Carrying out other duties as assigned.
Qualifications
- Administrative Assistant or Legal Assistant diploma or a minimum of 2 years of relevant administrative experience. Equivalencies and/or a combination of experience will be considered.
- Proven ability to work independently and collaboratively within a strong team environment.
- High level of professionalism; excellent communication and interpersonal skills.
- Excellent time management skills, ability to multi-task and prioritize.
- Strong analytical and organizational skills.
- Experience handling confidential and sensitive information.
- Strong research capabilities using internal and external resources.
- Strong writing and grammar skills with the ability to independently draft correspondence and other documents as required.
- Strong attention to detail and high degree of accuracy.
- Proven experience with creating documents and maintaining databases and filing systems.
- Excellent computer skills and comfort level learning new applications and systems.
- Strong knowledge of / experience with relevant computer applications (Word, Outlook, Excel), customer relationship management systems, and web content management systems (SharePoint).
- Experience using Co-Pilot in an administrative setting would be an asset.
