CLERICAL SUPPORT I

Job Type: Temporary, Full Time Department: Civilian Recruiting Location: 180 Derry Road, Mississauga, ON

As a Clerical Support I within our Civilian Recruiting Department, you will be responsible for performing a variety of clerical and administrative duties related to the recruitment of civilian members and the maintenance of personal, job and payroll information for consultants/contractors (non-employees).

What will your typical day look like? Responds to requests from areas to process the engagement of contractors and consultants. Provides information to areas detailing what is required and then initiates the secure background documentation to the prospective applicant. Once returned, verifies completeness and accuracy and issues to Applicant Investigators to initiate background investigation. Upon receipt of completed background check, forwards information to area notifying on suitability. Initiates induction; emailing all relevant documentation to applicant with forms to complete. Enters contractor and consultant data into HRMS to generate access, security etc. Monitors end dates and liaises with areas regarding re-checks and assigns. Extends end dates on HRMS, terminates consultants/consultants (non-employees) on HRMS. Provides clerical support, including photocopying, filing, scanning applicant files and invoices, scheduling appointments, archiving inactive files and verifying applicant status using the Human Resources Management System (HRMS); types memos, letters, reports, etc. using word-processing and spreadsheet computer applications software and maintains and up-to-date and accurate filing system. Responds to telephone, email and in-person inquiries from employees, applicants and the public pertaining to civilian recruiting and redirects as appropriate; opens, sorts, logs and distributes all incoming mail; retrieves all incoming; updates distribution lists and phone listings. Assists in the scheduling, administering and scoring of testing for internal and external civilian applicants and maintains related records. Schedules interviews for internal and external applicants. Attends Career Fairs as a representative of Peel Regional Police in order to provide guidance and organizational information to prospective applicants. Performs additional duties as assigned.

You are someone with

A High School Diploma or equivalent plus additional Human Resources or office administration course(s) and/or training, or an equivalent combination of education and experience A minimum of one year related experience required MS Word-Intermediate MS Excel-Intermediate MS Outlook Demonstrated knowledge of Human Resources Management System (HRMS) Well-developed keyboarding and data entry skills Effective oral communication and interpersonal skills Demonstrated organizational skills Ability to work effectively in a highly confidential and sensitive environment
