About the role

We are looking for a superstar Office Services Assistant to join our Eckler family. As the person responsible for maintaining our kitchens and supplies including snacks and beverages, the preparation, set up and clean up of all boardrooms and catering, and the sanitization and visual appearance of our office, you will play a critical roll in providing a welcoming environment to all visitors and staff. In this role, you will be working closely with our reception team and internal customers, and as such, it requires daily teamwork and collaboration to ensure that all the requirements of the job are met.

Roles and Responsibilities

  • Maintain, Empty / load all dishwashers as needed
  • Maintain coffee machines and coffee/tea supplies as required
  • Follow set-up instruction sheets to facilitate set up / take down of meeting rooms regarding catering – refresh items as required. Restore meetings rooms to a ready state following all meetings.
  • Maintain kitchen/servery supplies (e.g. beverage/water/napkins/paper towels etc.)
  • Receive and maintain snack inventory in lunchroom and servery
  • Maintain cutlery/cups/glasses/plates/serving utensils, platters etc. supplies in all kitchens and servery
  • Sanitize meeting rooms and common areas (kitchen/internal lobby’s/copy rooms)
  • Clean interior window ledges/glass/baseboards, monitor arms, staircase as required
  • Check washrooms for paper supplies and cleanliness and report deficiencies to Reception
  • Follow Desk Set-Up instructions, i.e. Clean out / sanitize empty desks/offices, replace/relocate name plates as required (New Hires, Departures, Moves)
  • Physically shop for adhoc snack items, when needed

Working Environment:

  • This is an in-office role and is not eligible for remote working
  • The shift is from 7:00 am to 3:00 pm (including a 1 hour break unpaid, (example: 30 minute lunch, two 15 minute breaks). Lunch break schedules are subject to change based on daily catering requirements.
  • You may be required to adjust your hours based on meeting schedules (e.g. early or late meetings/in office events, vacation backup coverage
  • This role works very closely with reception, so you may need to at times, provide back up support
