PARENTAL LEAVE: One Year Contract Position Canadian Ophthalmological Society

Please note: The COS office is located in Ottawa, ON. While the COS team is currently working remotely, there are expectations for this position to visit the office in Ottawa for certain tasks and/or team activities.

The Canadian Ophthalmological Society (COS) is the principal national, public voice for ophthalmology in Canada and the recognized authority on eye and vision care. Our mission is to strive toward the provision of optimal medical and surgical eye care for all Canadians by promoting excellence in ophthalmology and by providing services to support our members in practice. As the national membership organization representing the Eye Physicians and Surgeons of Canada, we are an affiliate of the Canadian Medical Association (CMA).

COS works to improve eye and vision care standards for all Canadians through the work of its Board of Directors, Councils and Committees, and ties with national and international ophthalmological and eye care organizations. Our membership includes over 900 ophthalmologists and 200 ophthalmology residents.

As an Accredited Continuing Professional Development (CPD) Provider, as designated by the Royal College of Physicians and Surgeons of Canada (RCPSC), the COS is mandated to develop high quality and ethically responsible CPD opportunities for Canadian ophthalmologists. Working in collaboration with physician organizations, universities, and industry partners, COS develops and approves CPD activities based on the educational needs of its members and according to the accreditation standards of the Maintenance of Certification (MOC) Program of the RCPSC.

Job Summary

Reporting to the Manager, CPD, the CPD Coordinator plays a vital role in supporting the Canadian Ophthalmological Society's continuing professional development initiatives. The position encompasses three key areas: managing the Practice Resource Centre (PRC) as both an online hub and physician-led committee; overseeing the Equity-Focused Mentorship Program (EFMP) including mentor-mentee matching, program logistics, and EDI initiatives; and supporting critical Annual Meeting functions including Awards of Excellence adjudication, poster/paper review processes, and Self-Assessment Program delivery. Additional responsibilities include reviewing accreditation applications, developing e-learning modules in compliance with Royal College standards, and supporting various educational programs from planning through evaluation. As a member of the cross-functional COS team, this role requires strong project management skills, attention to detail, and the ability to build positive relationships with diverse stakeholders including physicians, committee members, mentors, and learners. This position is ideal for someone who thrives in a collaborative, fast-paced environment while managing multiple complex projects and maintaining high standards of member service.

Primary Duties and Responsibilities

Practice Resource Centre (PRC) Serves as the key point of contact for the COS PRC committee (physician leadership) Coordinates committee meetings including scheduling, materials preparation, and minute-taking Updates and maintains the PRC website, ensuring content continuity and strategic alignment

E-Learning Development

Collaborates with Scientific Planning Committees (SPCs) to develop e-learning modules that meet Royal College educational standards and learning objectives Prepares and submits accreditation applications for e-learning modules, tracking approval status and maintaining compliance documentation Equity-Focused Mentorship Program (EFMP) Oversees all program logistics including mentor-mentee matching, onboarding, ongoing check-ins, facilitates program communications and provides mentorship resources Annual Meeting Support Coordinates COS Awards of Excellence program including developing nomination criteria, managing submission deadlines, coordinating adjudication panels, communicating with nominees and recipients, and organizing the recognition materials Manages Poster & Paper Award Adjudication process including updating evaluation criteria, recruiting and orienting reviewers, overseeing the submission and blind review platform, coordinating scoring and selection of top abstracts, and arranging presentation logistics and prizes Oversees Self-Assessment Programs including working with committees on pre and post test question creation, managing the online testing platform, ensuring MOC Section 3 accreditation compliance, providing participant support, and generating completion certificates and reports Accreditation Reviews and approves accreditation applications, maintains current knowledge of MOC Program standards Leads additional educational initiatives such as webinars and e-learning modules Supports the expansion of COS's digital learning portfolio Works toward transforming educational platforms into engaging, accessible learning experiences Other duties and responsibilities, as assigned, may include:

Supporting additional educational programs from planning through delivery, including:

Scientific committee coordination

Faculty and logistics coordination Evaluation development and analysis Budget tracking and expense processing

Contributing to program reporting and grant requirements

Qualifications and Skills

Post-secondary degree or equivalent is an asset

3-5 years of professional level experience in medium-sized enterprises that interface with multiple stakeholders; ideally within a not-for-profit environment Bilingualism is preferred (French and English) Excellent interpersonal and oral/written communication skills with the capability of working closely and collaborating with internal and external stakeholders Knowledge of governance policies and procedures coupled with demonstrated experience in managing and supporting national volunteer-led committees Impeccable organizational, planning and project management skills with the ability to prioritize and perform multiple tasks with accuracy and thoroughness Ability to adapt to flexible work schedules and changing job priorities, while meeting deadlines Demonstrated competence in minute-taking Proficient in use of Microsoft Office Suite Products including Word, Excel, PowerPoint, SharePoint and Outlook Experience with WordPress, Content Management Systems and knowledge of HTML Experience working with Articulate Experience with intersectionality between platforms, website functionality and metrics and social media promotion Demonstrates sound judgment in determining appropriate course of action quickly (including when to escalate issues for resolution) Ability to demonstrate tact, diplomacy, maturity and professionalism Experience in writing proposals and dealing with contracts Strong team player committed to delivering the best results leveraging cross-functional expertise and innovation This is a one-year contract position.
