Job Description
As an Executive Assistant reporting to the Chief Executive Officer, you will provide high-level administrative support to senior executives at FLINT, enabling them to operate efficiently and focus on strategic priorities. This role requires strong organizational skills, discretion, and the ability to manage confidential information, complex schedules, and multiple priorities in a fast-paced, dynamic environment. The Executive Assistant serves as a liaison between executives and internal and external stakeholders, ensuring seamless communication and execution of daily business operations.
What would you be doing?
- Manage complex calendars, meetings, travel, shifting priorities, and anticipate executive needs to prevent conflicts.
- Prepare, proofread, and manage correspondence, reports, presentations, and screen incoming communications on behalf of executives.
- Coordinate logistics, agendas, minutes, action items, executive initiatives, and support ELT/SLT meetings, offsites, and events.
- Maintain records, filing systems, expenses, onboarding/offboarding support, mail/courier services, and confidential information handling.
- Oversee office space, access, supplies, catering, kitchen inventory, and general facility-related needs to support executive operations.

Qualifications

Excellent written and verbal English skills, strong interpersonal abilities, and professionalism when interacting at all organizational levels.

Exceptional time management, multitasking, independent work capability, and the ability to adapt to shifting priorities.

High level of integrity with proven experience handling sensitive and confidential information.

Strong knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint) and other productivity tools, with proactive problem‑solving skills.

Diploma or degree in a relevant field, with 5+ years of executive/administrative support experience in a fast‑paced, complex environment; certification and multi‑leader support experience are assets.
