Position Status: Temporary Full-Time Contract (6 months)

Available: Immediately

Description of the Position:

The Coordinator provides administrative, financial, and operational support to the Stewardship & Donor Relations team. This role manages invoice processing, organized record-keeping, and gift agreement tracking while supporting donor communications, recognition activities, and event preparation. The Coordinator works closely with internal partners across the Foundation and Hospital, serving as a reliable point of contact and ensuring stewardship workflows run smoothly, accurately, and in alignment with organizational protocols.

You will:

  • Process Foundation and Hospital invoices and maintain accurate financial and procurement records.

  • Manage organized electronic and physical filing systems and track gift agreement documentation.

  • Provide core administrative support, including scheduling, meeting preparation, and tracking timelines.

  • Support the Stewardship & Donor Relations team with donor correspondence, reports, and event preparation.

  • Pull and organize donor data and coordinate review processes with internal stakeholders.

  • Liaise with Foundation and Hospital partners on donor recognition programs and naming opportunities.

  • Serve as a professional first point of contact for donors and internal teams seeking stewardship information.

  • The Coordinator may occasionally visit hospital sites to support donor recognition installations, site assessments, or naming verifications, which may involve brief exposure to typical hospital environments, including public and clinical areas.

  • All visits must follow hospital safety, infection prevention, and access protocols, including adherence to staff direction and use of required protective equipment.

  • Build strong relationships across Communications, Finance, Fundraising, and Business Intelligence/IT.

Qualifications:

While we know that for any job posting no one candidate will possess the qualifications being sought in equal measure, below is an outline of the qualifications we believe are important for a candidate to bring to the position or for the successful candidate to develop while in the role:

  • Bachelor's of Arts degree from an accredited university or equivalent experience;

  • 1-3 years experience in administrative coordination and implementing multi-faceted projects, preference to those in development/fundraising environment;

  • Excellent interpersonal and communication skills (both written and verbal);

  • Exceptional organization skills and ability to coordinate multiple projects within tightly prescribed timelines;

  • Detail-oriented mindset, and are proactive in anticipating and responding to client group needs and managing multiple and changing priorities;

  • High energy and level of enthusiasm, ability to work independently;

  • Proficiency with MS Excel, Word, Outlook, and a willingness to learn new computer software programs as required;

  • Willingness to learn CRM software and reporting

  • Proven ability to work collaboratively in a team environment;

  • Ability to work in a changing environment with tight deadlines;

Total Compensation Package:

Hiring Salary Range: $49,846.00 – $58,640.00; with the ability to progress to a maximum of $70,367.00. To ensure fair and equitable pay at SickKids Foundation, placement on the salary

range will be based on your years of experience, skills, and qualifications relevant to the Coordinator, Donor Recognition.

Hours: Hybrid work model: minimum two days per week in-office (Tuesday and Wednesday).
