Job Description
The Medical Education team at William Osler Health System is seeking a highly organized, detail oriented and experienced individual to join our growing team. The Medical Education Coordinator will play an essential role supporting the medical education activities at William Osler Health System. The Education Coordinator will be responsible for ensuring that medical learners have a positive learning experience through their placement at Osler including registration, onboarding, and orientation. The education coordinator will also work closely with Physicians, Preceptors, Learners, and various hospital departments to support and coordinate medical education activities for Learners and Faculty. This may include scheduling, planning, call coordinating, and facilitating clinical teaching capacity assessments, and hospital based academic sessions and faculty development events.
Accountabilities:
Reporting to the Manager of Medical Education, the Medical Education Coordinate will have the following responsibilities:
- Provide administrative support in the registration of all learners in accordance with established policies and procedures. This includes but is not limited to addressing learner enquiries, entering and tracking registration requirements and access to hospital items and deposits in NirvSystem
- Collaborate with medical education office leadership to develop and deliver corporate orientation for all medical learners
- Work with education leads to develop and deliver department specific orientation material and opportunities
- Organize and communicate learner placement details, call and shift schedules and academic sessions to education leads, preceptors, and departments
- Supports clinical capacity planning
- Assist with tracking and maintaining required learner data to assist with academic program requirements and reporting, e.g., learner absences, faculty teaching contributions, preceptor payments
- Maintain an accurate database of trainee demographics for Ministry of Health reporting and funding purposes
- Support the recruitment and tracking of clinical faculty and preceptors to support clinical teaching capacity and academic program requirements
- Create and maintain required learner call and/or shift schedules in collaboration with department education leads. Ensures timely distribution of updated schedules to learners, departments and academic programs
- Support hospital based academic sessions including
- Provide administrative support to the Manager, Medical Education and Clinical Faculty Relations in developing and organizing educational activities
- Attend committee meetings as required
- Other duties as assigned
- Please note that a flexible working schedule is required (which may include occasional evenings and weekends) and occasional travel is required across all Osler sites (Brampton Civic Hospital, Peel Memorial Centre for Integrated Health and Wellness and Etobicoke General Hospital)

Qualifications

Post-secondary degree or Community College with recent related work experience required

At least 1-2 years of related experience supporting learners in any of the following e.g. academic hospital/medical education office, university, or student support services

Experience working with physicians and/or medical learners, leading to a comprehensive understanding of the Canadian medical education system

Excellent interpersonal and communication skills (oral and written), with the proven ability to foster good working relationships with internal stakeholders and academic partners

Strong organizational and time management skills with a demonstrated ability to balance multiple priorities and deadlines

Possess exceptional attention to detail
-
Advanced computer skills (e.g. Microsoft Office, Microsoft Teams, Adobe Acrobat) including the ability to learn new applications quickly

Experience with learner management systems (NirvSystem, MedSIS, HSPnet etc.)

Team oriented

Demonstrates initiative to work proactively and independently while anticipating and prioritizing work

Ability to follow hospital policies and procedures
Additional Information
Hours: Currently days, (subject to change in accordance with operational requirements)
Fully Onsite: Roles involved in direct patient care that are needed onsite for each shift.
Annual Salary:
Minimum: $ 62,029.50
Maximum: $77,532.00
