Who we are:
Since 1916, the Office of the Fire Marshal (OFM) has been dedicated to keeping Ontario residents safe from fire and other public safety hazards. Working closely with Ontario's 427 fire departments and industry partners, the OFM has built a strong reputation for leadership and expertise.
There are 427 fire departments in Ontario, including 380 municipal and 47 Northern Fire Protection Program fire departments.

About the job
You will provide a wide range of administrative support services to the Northern Fire Protection Program, including, but not limited to:
- maintain and update administrative processes and contact lists
- coordinate paper flow, track deadlines and conduct follow-ups on requests by the manager
- transcribe and reformat various documents for management
- process and track correspondence, ensuring efficient mail coordination
- maintain/monitor database
- compile information, prepare and/or process reports
- providing research and project support
- track and maintain stock levels for supplies and inventory of assets
What you bring to the team
Mandatory requirements
- You must have a valid Class G driver's licence or equivalent as recognized by the Province of Ontario and the ability to travel.
Administrative skills and experience
You have:
- knowledge of standard office and filing procedures to provide administrative and organizational support
- demonstrated ability/experience providing office administrative
- organizational skills to meet priorities and deadlines, including coordinating with other sections and staff working in multiple locations
- computer skills to create/maintain spreadsheets and databases, and to create reports and general correspondences
Judgement and multi-tasking skills
You can:
- work independently, as well as operate effectively as member of a team.
- deal with confidential, legal and sensitive information within a highly sensitive environment.
- prioritize a variety of competing tasks.
Research and analytical skills
You can:
- research and compile information, explore alternatives and prepare/process reports.
- process and check expense accounts and invoices.
- ensure accuracy and attention to detail.
Communication and interpersonal skills
You have:
- demonstrated communication skills and diplomacy to deal with the public and different client group
- interpersonal skills to provide tactful responses to a wide variety of inquiries from staff and external contacts.
