Assistant Patron Services Manager

TO Live is looking for a support-driven, detail-oriented, and proactive Assistant Patron Services Manager to join our Patron & Event Services team and working across our three iconic venues.
In this key full time support role, you will assist in the day-to-day operations of the department, including coordinate staff scheduling. This is a great opportunity for someone who thrives in a fast-paced environment and takes pride in helping teams’ function at their best.
This position reports to the Director of Patron & Events Services and / or their designate. Duties include, but are not limited to, the following duties.
Key Responsibilities
Operations & Event Support

Assist in the day-to-day operations of Front of House (FOH), concessions, and event services.

Supervise unionized staff as needed during events, ensuring effective team coordination and professional service.

Provide on-site operational support for events, including client meetings and site tours.
-
Support event logistics, planning.
Staffing & Scheduling
-
Create and maintain accurate staff schedules for FOH, Box Office, and Concessions teams.
-
Monitor staff availability, time-off requests, and shift changes to ensure proper coverage.
-
Communicate scheduling updates and resolve last-minute conflicts as needed.
Administrative & Logistical Support
-
Maintain departmental records, including staff contact lists, seniority tracking, and event calendars.
-
Address patron complaints, concerns, and feedback promptly, escalating as needed.
-
Manage uniform and inventory logistics: ordering name tags, stocking supplies, and scheduling laundry.
-
Prepare and update reports, maintain databases, and support the upkeep of administrative records.

Provide general administrative support to the department.
What we are looking for
-
Smart Serve Certification (required).
-
Administrative experience, especially in scheduling and coordination.
-
Experience in live events, venue, or hospitality settings preferred.

Proficiency with Microsoft Office Suite (Excel, Word, Outlook).

Exceptional communication and interpersonal skills.
-
Strong problem-solving skills and the ability to work independently.
-
Comfortable working in a high-pressure, fast-paced environment.
Working Conditions

Requires fast-paced mobility throughout shifts.
-
Familiarity with union environments and Collective Bargaining agreements.
-
Variable hours including late nights and weekends.
-
Work may occur in settings lacking natural light.
-
Travel between TO Live venues as needed.
