The Role
Reporting to the Operations Manager and working closely with the Procurement Lead, the Procurement Coordinator supports the day-to-day procurement activities of the organization by coordinating purchasing transactions, maintaining supplier information, tracking material deliveries, and assisting with inventory replenishment.
The Procurement Coordinator plays a key support role in ensuring materials, equipment, and services are procured efficiently to meet operational and project requirements while maintaining accurate procurement records and following established purchasing processes.

Job Responsibilities
Purchasing Administration
Create and process purchase orders in accordance with company procedures. Obtain supplier quotations for routine purchases. Verify pricing, quantities, and delivery requirements. Maintain purchasing records and procurement documentation. Assist with procurement-related administrative activities.
Supplier Coordination
Communicate with suppliers regarding purchase orders, delivery dates, and order status. Follow up on outstanding orders and delivery commitments. Escalate supply concerns or delays to the Procurement Lead or Operations Manager. Maintain supplier contact information and vendor records.
Material Tracking & Expediting
Monitor open purchase orders and delivery schedules. Track material availability and shipment status. Coordinate with suppliers to confirm delivery timelines. Assist in resolving routine order discrepancies.
Inventory Support
Assist with inventory replenishment activities. Monitor stock levels and identify materials requiring replenishment. Support inventory cycle counts and reconciliation activities. Help maintain inventory accuracy within ERP systems.
Reporting & Documentation
Generate routine procurement and purchasing reports. Maintain procurement files and supporting documentation. Support data collection for procurement metrics and reporting. Ensure purchasing information remains current and accurate.
Cross-Functional Support
Coordinate with Operations, Production, Engineering, Inventory, and Project teams regarding material requirements. Communicate product availability and delivery updates. Support ongoing procurement and inventory initiatives as requested. Assist with process documentation and administrative improvements.
Decision-Making Authority
Coordinate purchasing activities within established procedures. Obtain quotations and communicate with suppliers regarding routine transactions. Escalate supplier issues, pricing decisions, non-standard purchases, and sourcing decisions to the Procurement Lead or Operations Manager. Does not have direct reports, supervisory responsibility, or procurement authority beyond delegated purchasing processes.
Qualifications
2–5 years of purchasing, procurement coordination, inventory, or administrative experience. Experience working in a manufacturing, industrial, construction, or operational environment preferred. Familiarity with ERP/MRP systems. Strong Microsoft Office skills, particularly Excel. Strong organizational and communication skills. Post-secondary education in Business, Supply Chain, Administration, or a related discipline is considered an asset. Supply chain coursework or designation progress would be considered an asset.
